Position Summary
Highlands Ranch Animal Hospital is a dedicated veterinary facility situated in a picturesque location. We are seeking a skilled individual to take on the role of part-time veterinary receptionist. This position calls for a friendly, enthusiastic, and reliable person who possesses a positive demeanor and exceptional customer service abilities. As a rapidly expanding small animal practice, we offer a supportive and vibrant work environment with opportunities for professional development. A minimum of 2 years of relevant veterinary experience is essential. If you embody these qualities and are looking for a long-term position, we would be delighted to connect with you. Familiarity with Cornerstone is advantageous but not mandatory. Compensation will be commensurate with experience.
Key Responsibilities
- Arrive punctually and prepared for work as scheduled by management.
- Understand and accurately pronounce common veterinary terminology.
- Welcome clients in a courteous and professional manner.
- Manage cash drawer operations at the beginning and end of each day.
- Exhibit proficiency in computer applications including Excel and Word, typing at least 30 words per minute, and ensuring accuracy in data entry.
- Address client inquiries regarding basic animal care and routine procedures.
- Inform clients about over-the-counter products, nutraceuticals, and preventive care options to enhance sales.
- Facilitate the check-in and check-out processes for patients.
- Maintain accurate medical records and ensure they are up-to-date.
- Prepare health and immunization certificates.
- Discuss euthanasia services with clients, collect necessary authorizations, and manage related documentation.
- Coordinate client and patient transfers and obtain records from other veterinary facilities.
- Generate client invoices for services rendered.
- Process payment transactions accurately, including online, credit card, and cash/check payments.
- Maintain an efficient appointment schedule, prioritizing urgent cases as needed.
- Receive and relay messages via telephone, fax, and email promptly and accurately.
- Handle incoming calls swiftly and professionally using a multi-line system.
- Input and update client and patient information in practice management software, including attaching pet photos to records.
- Clearly outline costs and fees while adhering to hospital payment policies.
- Convert potential clients into actual clients through effective communication.
- Manage client correspondence, including reminders, thank-you notes, and sympathy cards.
- Ensure the front office maintains a professional and welcoming appearance through cleanliness and organization.
- Schedule and coordinate ultrasound appointments.
- Assist in maintaining cleanliness in exam rooms between appointments.
- Conduct follow-up calls for surgery reminders and pre-operative instructions.
- Maintain office equipment, including PCs, telephones, and fax machines.
- Organize and maintain an alphabetical filing system.
- Follow oral and written instructions accurately.
- Perform additional duties as assigned by management.
- Conduct end-of-day, end-of-month, and end-of-year processes accurately.
- Foster positive and respectful relationships with colleagues.
