Position Summary

Role: Customer Service Planner

Department: Sales

Reporting To: Customer Service Supervisor

Classification: Non-Exempt

Objective:
To embody and promote the Vision, Values, and Mission of United Petroleum Transports, contributing to the annual objectives set forth by the organization. The company is dedicated to the Responsible Care initiative, and it is expected that all personnel will align their conduct with these principles to enhance safety for employees and the community.

Key Responsibilities:
  • Prioritize safety in all tasks; participate in safety meetings and discussions as necessary to fulfill the company’s Vision and Mission.
  • Oversee inventory levels, organize loads for drivers, manage delivery priorities, and allocate loads equitably among drivers.
  • Coordinate logistics requirements with other facilities and related services.
  • Maintain ongoing communication with clients to ensure their expectations are consistently met.
  • Engage daily with the Customer Service Center and Fleet Managers for information sharing and productivity enhancement recommendations.
  • Actively contribute to achieving departmental goals and metrics in a constructive manner.
  • Foster a positive work environment through effective communication and collaboration to support business operations.
  • Ensure workflow is effectively communicated to all drivers and centers.
  • Address challenges related to driver productivity, including mechanical issues and loading instructions.
  • Document and manage data related to deliveries, including confirmations, billing, and customer feedback.
  • Maintain close contact with drivers to address inquiries or concerns.
  • Communicate with management as directed.
  • Complete necessary notifications regarding product service failures or incidents.
  • Perform additional duties as assigned by the Customer Service Supervisor.
Qualifications:

Essential Qualifications:
  • Experience in loading and planning is required.
  • Attention to detail and a proactive approach to problem-solving are essential.
  • High School diploma or equivalent is necessary.
  • Two to three years of experience in dispatching or customer service is preferred.
Skills and Competencies:
  • Strong verbal and written communication abilities.
  • Familiarity with DOT regulations and relevant federal and state standards.
  • Capability to manage multiple projects effectively.
  • Self-motivated with a focus on detail-oriented tasks.
  • Ability to maintain confidentiality.
  • Professional demeanor in all interactions.
  • Excellent organizational skills.
  • Strong interpersonal skills; ability to collaborate with diverse individuals.
  • Demonstrated reliability through consistent attendance and adherence to schedules.
  • Basic computer proficiency.
  • Understanding of fundamental company policies and procedures.
Physical Requirements:
  • Ability to sit for extended periods, perform repetitive motions, and engage in visual and auditory activities.
  • Occasional lifting of up to 20 pounds.
Work Environment:
  • Standard office setting, utilizing typical office equipment such as computers and printers.
Schedule:
  • Sunday through Tuesday, and alternating Saturdays from 8 am to 8 pm.
