Administrative Assistant Opportunity at Community Hope

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at Community Hope. As an Administrative Assistant, you will provide critical support to our Transitional Housing program, ensuring the smooth operation of our daily office and administrative functions.

Key Responsibilities:
  • Coordinate program staff scheduling and manage shift coverage in Easy Shifts.
  • Call and schedule staff for replacement of leaves of absence.
  • Work collaboratively with managers on scheduling issues.
  • Provide functional guidance to staff and managers on scheduling processes.
  • Prepare and/or compose documents, including correspondence, meeting minutes, reports, contracts, forms, financial documents, referral documentation, and other administrative documents from various media formats.
  • Enter and verify persons served insurance information in eMEVS.
  • Answer phone calls, provide information to callers, take messages, and transfer calls to team members.
  • File documents, organize and purge paper health records, and maintain the program files and file room.
  • Sort and deliver faxes and regular mail, receive and deliver packages to the addressee.
  • Fax, copy, and scan documents as needed.
  • Assume additional responsibilities as assigned by supervisors and senior managers.
Requirements:
  • High School Diploma and minimum of 2 years related experience.
  • Intermediate knowledge of Microsoft Office and the use of the Internet.
