POSITION SUMMARY

The Admissions Coordinator plays a vital role in the treatment process by engaging with prospective clients through our esteemed treatment partners and marketing initiatives. This position is responsible for managing client intakes while upholding the integrity of the SoCal Detox brand through effective communication and relationship-building skills. Collaboration with upper management is essential to assess client eligibility for admission, ensuring a seamless transition into care.

Key Responsibilities:

  • Facilitate the intake process for clients, addressing logistics, availability, and transportation needs while liaising with facility leadership.
  • Ensure timely coordination of all Verifications of Benefits (VOB) with the billing department.
  • Conduct pre-admission assessments to gather information on drug use history, treatment experiences, and medical conditions.
  • Collect necessary client insurance deductibles and co-payments.
  • Screen clients for any history of violence or sexual offenses.
  • Verify that clients meet the eligibility criteria established by SoCal Detox and our medical team.
  • Collaborate with Utilization Review Specialists and billing staff to share pertinent client information.
  • Generate weekly and monthly reports detailing client intake and discharge statistics.
  • Process client payments in accordance with company policies, HIPAA regulations, and applicable laws.
  • Establish client payment plans and manage scheduled payments.
  • Identify and cultivate new treatment partner leads through outreach efforts.
  • Remain available for emergency and crisis situations.
  • Manage incoming intake and SEO calls on a 24-hour basis.
  • Work closely with facility staff, family support systems, and community resources to ensure quality client care and continuity of services.

Required Competencies:

  • Ability to foster and maintain collaborative relationships with clients, families, treatment partners, and healthcare professionals.
  • Skill in developing rapport with clients and their families.
  • Capacity to create and maintain systems for tracking intakes, partnerships, and financial information.
  • Ability to assess and enhance the effectiveness of outreach initiatives.
  • Strong communication skills to convey program dynamics and the culture of care.
  • Excellent time management, organizational skills, and the ability to work independently.

Education:

  • Bachelor’s degree preferred or equivalent experience in the addiction field.
  • Relevant certifications such as CAADAC, CADC, or CADTP are preferred.

Experience:

  • A minimum of 2 years of experience in addiction and mental health or related human services is preferred.

Technical Skills:

  • Proficiency in Microsoft Office Suite, Google Sheets, and client management software.
  • Familiarity with KIPU Systems and other eligibility software is preferred.

Certificates & Licenses:

  • Valid Driver's License.
  • CPR/First Aid certification.
  • Drug and Alcohol Counseling Credential or Internship is preferred.

Other Requirements:

  • Recent negative TB test results.
  • Medical clearance to work.
  • Ability to pass pre-employment and random drug screenings.

Physical Demands:

  • Ability to lift and carry up to 20 lbs.
  • Moderate frequency of computer keyboarding and monitor viewing.

WORK ENVIRONMENT

This role involves working in various settings, including a residential detox facility and corporate office, with a requirement for 24-hour availability. The work environment may include emergency and high-stress situations, with noise levels typically quiet in office settings and moderate in other areas.
