Senior Events Coordinator

We are seeking a highly skilled and detail-oriented Senior Events Coordinator to join our dynamic team at Solomon Page. As a key member of our Marketing and Events team, you will be responsible for planning, coordinating, and executing events that exceed our clients' expectations.

Key Responsibilities:
  • Assist the Marketing and Events Director in the planning and execution of events, including meetings, workshops, community events, and tenant events.
  • Work closely with the Director of Marketing and Events and Property Management teams to ensure seamless communication and coordination leading up to, during, and after events.
  • Act as the primary on-site representative during events, ensuring smooth operations and addressing any issues that arise while providing excellent customer service.
  • Liaise with clients, vendors, and stakeholders to ensure their needs are met and expectations exceeded.
  • Develop and foster relationships with internal team members, vendors, building staff, and tenants whose trust and cooperation are integral to the success of events.
  • Oversee on-site event staff, providing guidance and support to ensure everyone is aligned with their roles and responsibilities.
  • Conduct site tours and provide detailed information to potential clients and partners as needed.
  • Manage post-event closeouts, including accounting and damage reconciliation.
  • Provide administrative support to the Marketing and Events Director, including scheduling, document preparation, and data entry.
  • Maintain accurate records and reports for expenses, attendance, etc.
  • Handle venue inquiries and correspondence, responding promptly and professionally to client and vendor inquiries.
  • Prepare and maintain event-related documentation, including contracts, invoices, and vendor agreements.
  • Maintain inventory of event supplies and equipment, coordinating orders and restocking as necessary.
  • Update and maintain the ROW DTLA website, ensuring that event information, news, etc. are accurate and up to date.
Requirements:
  • 4+ years of experience in a similar role.
  • Excellent organizational and time-management skills, with the ability to manage multiple projects simultaneously.
  • Strong financial acumen and experience in budget management and expense tracking.
  • Exceptional interpersonal skills, with the ability to build and maintain strong relationships.
  • Strong written and verbal skills.
  • An entrepreneurial spirit and a desire to be proactive.
  • Proven ability to problem-solve and maintain composure in high-pressure situations.
  • On-site event experience and experience managing a team of event staff and vendors required.
  • Ability to work irregular hours, including nights, weekends, and holidays, as needed to oversee events and interact with clients.
  • Proficiency in Microsoft Outlook, Word, PowerPoint, and Excel.
  • Familiarity with Reserve Cloud and a CMS platform is highly desirable.
  • Bilingual in English and Spanish is required.
