Position Overview

Salary: $45,000 - $50,000 based on experience

This full-time role is designed to deliver administrative and clerical assistance to Artist Managers, focusing on instrumentalists and touring performances. The position necessitates in-office work at least two days a week, aligned with the schedules of the managers.

Key Responsibilities:

  • Develops and maintains seasonal calendars for artists.
  • Prepares, processes, and monitors performance agreements.
  • Manages the tracking of artist payments and commissions.
  • Assists artists with logistical arrangements related to concert tours, including itinerary creation, rehearsal coordination, travel, accommodation, and visa applications.
  • Handles routine and complex inquiries via phone and email, engaging with artists, presenters, orchestra managers, and record labels globally.
  • Updates and maintains promotional materials, addressing publicity inquiries as needed.
  • Creates and formats general correspondence, memos, and financial reports; monitors ticket sales with presenting organizations; updates the company database.
  • Collaborates independently and as part of a team on special projects as requested by management.
  • Additional responsibilities may be assigned to fulfill business requirements.

Qualifications:

  • Exceptional interpersonal skills with the ability to manage sensitive and confidential matters, demonstrating poise, tact, and diplomacy.
  • Strong capacity to interact and communicate confidently and professionally with individuals at all organizational levels.
  • Proficient in various computer software applications, including word processing, spreadsheets, databases, and presentation tools.
  • Meticulous attention to detail in drafting and reviewing materials, prioritizing tasks, and meeting deadlines.
  • Proven ability to thrive in a fast-paced environment, managing multiple competing tasks and demands.

Education and Experience:

  • Bachelor's Degree or equivalent professional experience.
  • A minimum of two years' experience in an administrative support role.
  • Familiarity with classical music is preferred.
  • Proficiency in additional languages is advantageous but not mandatory.
  • A passion for engaging with individuals who appreciate classical music is a valuable asset.

This position is classified as non-exempt.
