United Construction Company is actively looking for a Construction Project Coordinator to oversee the management of project-related documentation as instructed by the Project Manager(s).


Key Qualifications:
A minimum of 3 years' experience in a project coordination position within a commercial construction environment is preferred.
Possession of or ability to obtain a valid driver's license.

Employment Type:
Full-time

PRIMARY RESPONSIBILITIES:
Contract Management
Submittals/Shop Drawings/Samples
Monitor all necessary submittals/shop drawings from subcontractors/vendors in line with the company's policies and procedures.
Organize all documents according to the company's policies and procedures.
Requests for Information (RFIs)
Input all RFIs into the project management software following the company's policies and procedures.
Distribute to the Project Manager and Superintendent for technical assessment and/or response.
If necessary, forward to Architect/Engineer for clarification.
Track all RFIs to ensure prompt responses and distribute as required and in accordance with the company's policies and procedures.
Subcontracts/Purchase Orders
Draft contracts, purchase orders, and subcontract change orders as directed by the Project Manager.
Monitor issuance and return from Subcontractors/Vendors.
Keep the Project Manager updated on outstanding subcontracts or insurance/licensing issues weekly.
Provide all necessary notices, reports, services, etc., in a timely and accurate manner.
Change Orders
Prepare change orders as requested by the Project Manager and distribute as necessary.
Track issuance and return from Owners, Subcontractors, and Vendors.
Update the project management software when change orders are returned and distribute as required.
Maintain organized files for easy access.
Project Meetings

Assist the Project Manager and Superintendent in organizing weekly meetings with Owners and Subcontractors and aid in creating and updating meeting minutes.

Help compile and distribute weekly meeting minutes and 3-week schedules prepared by the Project Manager and Superintendent.
Document and prepare meeting minutes as requested.
Certified Payroll
Collect, verify, and submit certified payroll for the project, if necessary.
Project Documentation
Distribute updated schedules to Owners and Subcontractors along with any general notices to Subcontractors.

Ensure the project filing is current and maintain all project folders and binders according to the company's policies and procedures.

Distribute plans, specifications, and clarifications as directed by the Project Manager and maintain a drawing and distribution log in the project management software.

If requested, make copies of and distribute to the job site all copies of Subcontracts, Purchase Orders, RFIs, Submittals, Shop Drawings, etc.

Make copies of and distribute to the job site all testing and inspection reports.
Communications

Maintain close communication and interaction with all internal personnel/groups, third-party architectural and engineering consultants, governmental agencies, material vendors, subcontractors, and clients.

Adhere to all accounting procedures.

Process commitments to subcontractors and suppliers and ensure all materials are procured and delivered to the site in compliance with the construction schedule.

Prepare, monitor, process, and control all owner and subcontractor change orders and change order requests.
Monitor subcontract status reports and ensure timely execution of documents, including the timely submission of subcontractor and vendor insurance requirements.
Ability to work with job cost and Work In Progress (WIP) accounting methods.
Reporting
Prepare reports as required by the Owner agreement or the company policies and procedures.
Close Out

Initiate close-out procedures in accordance with the contract documents and in compliance with procedures outlined in the company policies and procedure manual.

Solicit and track the receipt of Subcontractor/Vendor warranties and O&M manuals required for the close-out documentation.
Assemble closeout documents for the Project Manager's review. Once complete, distribute as necessary and file.

GENERAL REQUIREMENTS:
Language Skills
Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
Ability to write reports, business correspondence, and procedure manuals.
Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
Mathematical Skills
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Legal Skills

Understanding of construction law, State Statutes, and other Federal, State, and Local regulations, ability to read and interpret legal documents, contracts, and familiarity with insurance laws and policies.

Computer Skills
Working knowledge of Microsoft Office software, including: Outlook, Word, Excel, and PowerPoint.
Working knowledge of Procore and Sage preferred.
Ability to learn and effectively operate other types of software.
