Job Title: HIM Specialist Program Assistant

Job Summary:

We are seeking a highly organized and detail-oriented HIM Specialist Program Assistant to join our team at the Greater Baltimore Medical Center (GBMC). As a HIM Specialist, you will play a critical role in maintaining accurate and up-to-date medical records, ensuring compliance with regulatory requirements, and providing exceptional support to our interdisciplinary teams.

Responsibilities:

  • Generate and electronically file patient-related information for the medical record, adhering to company policy and regulatory requirements.
  • Prepare mailings to physicians, ensuring timely receipt and return of medical orders.
  • Run Missing Plans of Care and Orders reports, working to obtain missing information and resolve discrepancies.
  • Request medical records from doctors' offices, hospitals, facilities, and family members, ensuring timely receipt and processing.
  • Print patient care plans, medication order sheets, and demographic information for patients being transferred to other facilities.
  • Respond to requests for records to facilitate treatment delivery by other related providers.
  • Support and attend weekly interdisciplinary team meetings, updating the electronic medical record with team documentation.
  • Prepare all documentation for IDT members, collecting and entering clinical staff documentation into the EMR.
  • Prepare necessary paperwork for re-certifying patients for ongoing care, adhering to regulatory guidelines.
  • Review documentation to ensure quality and accuracy, maintaining IDT meeting attendance records in Homeworks.
  • Conduct regulatory audits of patient charts, reviewing inactive patient medical records and closing records within 30 days of discharge.
  • Communicate with pharmacies, mailing/faxing prescriptions written during IDT, and respond to record requests from outside sources and the billing department.
  • Identify patient needs and regulatory requirements associated with medical insurance, printing MTM assessment forms for review by Clinical Managers.
  • Obtain Medical Director signature on MTM assessment forms, scanning into EMR weekly, and provide administrative support services, preparing daily reports for the Clinical Manager.
  • Respond to phone calls, emails, and mailings in a timely manner, providing coverage for other teams as needed and assisting other HIM Specialists as time permits.
  • Prepare for emergency events by accurately maintaining patient acuity scales in the EMR, attending all meetings designated by supervisor, and operating standard office machines and equipment.

Requirements:

  • High School Diploma, GED, or equivalent.
  • 1 year's customer service or administrative experience; additional education beyond high school may be substituted for experience.
  • Knowledge of medical terminology is preferred.
  • General knowledge of office practices, procedures, and equipment; of business English, spelling, punctuation, grammar, and basic arithmetic calculations.
  • Skill in using a variety of office software applications, such as word processing, spreadsheets, presentation packages, and database applications to produce documents.
  • Skill in understanding and following oral and written instructions and in communicating effectively both orally and in writing.
  • Skill in accurate alphabetical and numeric filing.
  • Able to multi-task and prioritize in a busy environment, with strong time management skills.

This is a full-time position, working in a fast-paced healthcare environment. The successful candidate will be required to work in a team-oriented setting, with a focus on providing exceptional patient care and support to our interdisciplinary teams.
