Job Title: Project Administrator

Ramos Consulting Services, Inc. (Ramos CS) is seeking a highly skilled and experienced Project Administrator to join our team. As a Project Administrator, you will play a critical role in supporting our project managers and teams in delivering high-quality projects on time and within budget.

Responsibilities:
  • Assist project managers in preparing and formatting proposals, contracts, and other project-related documents.
  • Review and track client contracts and prime agreements to ensure compliance with project requirements.
  • Acquire and manage insurance certificates and other documentation as required by clients.
  • Prepare project start-up documentation and ensure timely execution of project tasks.
  • Administer contracts from execution to close-out, ensuring compliance with project budgets and requirements.
  • Review, track, and coordinate subconsultants' invoices to ensure they meet contract requirements and project budgets.
  • Prepare and submit invoices to clients, ensuring compliance with client standards and contract requirements.
  • Provide support to project managers on financial aspects of their projects, including budgeting and forecasting.
  • Interface with clients to resolve business-related issues and provide excellent customer service.
  • Process and code supply ordering and expense reports as needed.
  • Process event registrations and complete other administrative assignments as required.
Requirements:
  • Minimum of 5 years of administrative, contract, accounting, or related experience.
  • Advanced working knowledge of Microsoft Office Suite, with expertise in Excel, Word, Outlook, and Teams.
  • Strong analytical skills and attention to detail.
  • Ability to work and communicate well in an office atmosphere and virtually.
Preferred Qualifications:
  • Associate degree or higher.
  • Prior experience within the Architecture, Engineering, & Construction (AEC) industry.
  • Knowledge of Deltek accounting software.
  • Knowledge of Bluebeam pdf editing software.
