Job Summary

The Administrative Support Professional will facilitate the efficient operation of the property management team by performing a variety of clerical and administrative tasks.

Key Responsibilities
  • Respond to incoming calls, provide assistance, and forward messages as necessary to team members and maintenance staff.
  • Greet and assist visitors in the office area, ensuring a positive experience.
  • Prepare and dispatch work orders based on service requests, maintaining and updating the computerized system.
  • Type violation letters under supervision and maintain organized unit owner files, handling incoming and outgoing correspondence.
  • Attend meetings, take minutes, and type minutes for review by the supervisor.
  • Under supervision, prepare notices for various meetings and coordinate mass mailings for the community.
  • Maintain records for the gate entry system and serve as the system administrator.
  • Order office supplies, process incoming mail, and handle invoices under approval.
  • Provide change of address information, maintain emergency contact details, and update the Information Sheet.
  • Coordinate the application process for new residents, provide welcome packages, and assist with orientation.
  • Support legal counsel with information requests and real estate agents as instructed.
  • Coordinate matters with vendors, contractors, etc., as needed and authorized.
Requirements

To be successful in this role, you will require:

  • Previous experience in administrative roles or property management is preferred.
  • Proficiency in MS Office Suite and comfort working with computerized systems.
  • Ability to work independently.
  • Excellent organizational and multitasking abilities.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information.
Compensation

This position offers an estimated annual salary of $45,000 - $55,000, depending on qualifications and experience.
