Role Summary:
We are in search of a proactive Talent Acquisition Coordinator to become a vital part of our Human Resources team at our Dallas Headquarters. This role is ideal for an energetic individual who thrives in a fast-paced environment and is motivated by delivering outstanding service, collaboration, and coordination.

Key Responsibilities:
This position encompasses several essential duties, including:

  • Coordinating on-site and virtual interviews across multiple office locations.
  • Collaborating with Hiring Managers and Administrative Assistants to confirm interview schedules and other Talent Acquisition activities.
  • Engaging with candidates to arrange travel, ensuring a seamless experience for candidates, hiring managers, and recruiters through timely actions, follow-ups, and effective communication.
  • Maintaining and updating candidate information in the applicant tracking system while managing complex calendars for both internal and external meetings.
  • Supporting Talent Acquisition leadership with presentation preparation, including creating PowerPoint presentations, gathering data, and managing trackers as needed.
  • Assisting in the organization and electronic filing of vendor agreements.
  • Documenting detailed notes during Talent Acquisition meetings for accountability and tracking.
  • Coordinating the distribution of materials to various offices and recruiting events, ensuring proper tracking and return of materials.
  • Demonstrating flexibility by assisting in various areas of Talent Acquisition operations as directed by leadership.

Qualifications:
Desired Skills and Experience:

  • 2-3 years of experience in recruitment coordination, administrative support, or project management.
  • Proven ability to manage multiple complex workflows and projects effectively.
  • Demonstrated success in building relationships and trust with candidates and clients, including senior leaders, throughout the interview and onboarding process.
  • Proficiency in Outlook and the MS Office Suite, particularly Excel and PowerPoint.
  • Ability to think creatively and enhance visual presentations.
  • Experience in a dynamic, collaborative, and fast-paced environment.
  • Strong capability to anticipate challenges, manage escalations, and collaborate as needed.
  • Excellent verbal, written, and interpersonal communication skills.
  • Exceptional time management, project management, organizational, and multitasking skills to thrive in a fast-paced culture.
  • Experience in the Architecture, Engineering, or Construction sectors is preferred.
