Overview: The Program Coordinator serves as the central point of contact for the Operations team, acting as the primary liaison between clients and project execution. The primary objective of the Program Coordinator is to foresee all client requirements for a successful project and implement them with unwavering commitment to quality, efficiency, and client satisfaction. This role is designed to proactively mitigate challenges by anticipating potential issues and addressing them before they arise.

Key Responsibilities:

  • Implement the project plan: The Program Coordinator is essential to the Operations team, embodying the proactive spirit of the organization. They serve as the primary interface for clients, ensuring seamless communication and collaboration across all departments involved in project delivery.
  • Client Engagement: The Program Coordinator is involved throughout the project lifecycle, from initial discussions to final evaluations, ensuring that client interactions are smooth and informative. Building trust and rapport with clients is vital for the success of the projects.
  • Timeline Management: Effective time management is crucial in this role. The Program Coordinator is responsible for establishing clear timelines and ensuring that all project milestones are met on schedule.
  • Budget Oversight: The Program Coordinator plays a key role in managing project budgets, including estimating costs and monitoring expenditures to ensure financial targets are met.
  • Resource Procurement: This role includes overseeing the acquisition of materials and resources necessary for project execution, ensuring that all purchases align with project specifications and budget constraints.
  • Travel Coordination: The Program Coordinator may be required to travel occasionally to support client projects, ensuring hands-on assistance when necessary.

Essential Functions:

The Program Coordinator collaborates with various internal teams to manage client projects from conception through execution, ensuring adherence to timelines, budgets, and quality standards. Responsibilities include:

  • Collaborating with Account Managers to conduct initial project assessments.
  • Participating in project discovery sessions with the Creative team.
  • Drafting comprehensive project briefs for client review.
  • Generating cost estimates and vendor proposals.
  • Assisting the Creative team in strategic planning and solution development.
  • Presenting design concepts to clients, highlighting benefits and specifics.
  • Overseeing the budgeting process and ensuring financial accountability.
  • Developing and maintaining project schedules to keep initiatives on track.
  • Monitoring inventory and managing client requests effectively.
  • Providing on-site supervision for client projects as needed.
