As we continue to expand, we are seeking an Accounting Specialist to assist our financial analyst, COO, tax accountant, and Purchasing Director in accurately documenting purchase orders, accounts payable, bills of lading, accounts receivable, and all associated financial data. You will play a crucial role in generating financial reports that provide insights into the performance of each division and related KPIs. Additionally, you will collaborate with kitchen team leaders to gather data pertinent to our menus and recipes.
The ideal candidate possesses an unwavering attention to detail and a strong aptitude for numerical analysis. You will act as a meticulous investigator, diligently probing any discrepancies that may arise. This position requires a full-time presence in the office, as much of the investigative work involves phone communications, in-person follow-ups, and thorough fact-checking. All findings must be accurately recorded in Fishbowl Inventory (our warehouse management software), Quickbooks Online, and various spreadsheets.
Success in this Role:
Onboarding Phase:
You will start by getting acquainted with your team members and undergoing training for Fishbowl Inventory. Your prior experience with Quickbooks Online will allow you to immediately engage in daily data entry and reconciliations. While there will be a significant amount of data entry, you will have the support of remote data-entry freelancers to assist you. Accuracy is paramount, and your supervisor will review your work to ensure precision.
First Month Objectives:
By the end of your first month, you will have established a reputation for your accuracy in data entry and reconciliation tasks. You will also produce your initial monthly Balance Sheet, Profit & Loss statement, and Cash Flow statement for the finance team. You will have experienced a complete monthly cycle of recording and reporting, gaining insights into areas for improvement in the following months.
Third Month Objectives:
By the third month, you will be proficient in our Warehouse Management System and Quickbooks Online reconciliation processes, having developed a routine for your in-person investigations. You will ensure that data remains clean and consistent, enabling our financial analyst to create accurate reports that reflect the true state of affairs. This responsibility is vital for our management team.
First Year Objectives:
After your first year, your colleagues will recognize you as the go-to expert for all matters related to data and accounting. You will have a comprehensive understanding of the numbers and the narratives behind them, having meticulously tracked everything throughout the year. Each challenge you faced will have been a forensic journey that you successfully navigated, taking pride in categorizing every figure accurately.
Future Opportunities:
As your skills evolve, you may transition into a financial controller or analyst role, eventually overseeing the next data manager and bookkeeper. Your responsibilities will shift from data recording to report development, ultimately contributing to strategic decision-making based on those reports.
Physical Requirements: This position typically involves a standard office environment. You must be able to remain stationary for extended periods, operate a computer and other office equipment, and occasionally move office equipment weighing between 10-25 pounds. Close vision is necessary for this role, and you may need to operate a motor vehicle. Effective communication with others is essential, requiring the ability to exchange accurate information.
