Key Responsibilities:
- Facility Management
- Oversee scheduling and logistics for vendors, clients, and visitors, ensuring adherence to safety and GMP standards.
- Assist in planning and executing company events and meetings to promote employee engagement.
- Manage office supplies, IT resources, and mail distribution; collaborate with IT support for troubleshooting.
- Security, Timekeeping, and Uniform Management
- Administer the facility's security system and oversee badge issuance for staff and contractors.
- Assist employees and temporary staff with badge access and timekeeping procedures.
- Provide training for supervisors and new employees on timekeeping processes and issue resolution.
- Oversee the work uniform program and coordinate with external vendors.
- Safety Program Assistance
- Maintain documentation of safety incidents and ensure follow-up on outstanding issues under HR guidance.
- Collaborate with Environmental Health & Safety on incident follow-ups, monthly reporting, and OSHA log maintenance.
- Provide data and support for safety initiatives and programs.
- Assist with activities of the Safety Steering Team and Safety Committee.
- Recruitment, Onboarding, and Training Support
- Facilitate recruitment for both regular and temporary positions by liaising with staffing agencies and hiring managers.
- Process onboarding and offboarding transactions in HRIS for temporary employees.
- Organize and schedule new hire orientation to ensure a comprehensive onboarding experience.
- Prepare workstations for new employees and procure necessary supplies.
- Additional Responsibilities
- Perform other tasks as assigned by management.
Qualifications and Skills:
- Experience: 2-4 years in an administrative capacity within a manufacturing setting. High School diploma is required.
- Languages: Proficiency in English; knowledge of Spanish is highly desirable.
- Skills:
- Ability to prioritize multiple tasks and maintain organization.
- Strong problem-solving abilities and collaborative work style.
- Excellent interpersonal communication skills.
- Attention to detail and a focus on customer service.
- Capability to handle confidential information with discretion.
- Technical Proficiencies:
- Proficient in Microsoft Windows, Word, Excel, and Outlook.
- Experience with HRIS systems like UKG is advantageous.
- Basic math skills and proficiency in reading and writing at a high school level.
Work Requirements:
- May require extended hours based on operational needs.
- Requires reliable transportation and occasional travel between facilities.
- Ability to meet tight deadlines in a moderate to high-demand environment.
- No overnight travel is required.
Physical Requirements:
- Moderate physical activities including bending, pushing, pulling, climbing stairs, reaching, lifting, and grasping (2-4 hours/day).
- Continuous activities such as sitting, standing, walking, talking, and repetitive hand/wrist movements (6+ hours/day).
- Good vision, normal hearing, and fluency in English are necessary.
Working Conditions:
- Indoor work environment, with seasonal heat and humidity on the production floor.
- Potential exposure to various fragrances.
- Ability to move and lift objects weighing up to 10 lbs.
Work Schedule:
- Shifts of 8-10 hours, with flexibility based on business and customer requirements.
- May require an additional 5-10 hours per week beyond the standard schedule.
