Job Description:

The Bay City Fire Rescue seeks an experienced Administrative Assistant to provide exceptional support to the principal and facilitate school operations. This role demands discretion, loyalty, and strong communication skills.

Key Responsibilities:

  1. Maintain confidential information and ensure its safekeeping
  2. Serve as a liaison between the school administration and the public
  3. Collaborate with the principal to plan and organize elementary activities and staff events
  4. Manage the building's petty cash funds and oversee budget duties
  5. Coordinate office support work within the building and purchase office supplies
  6. Distribute mail and maintain the building calendar of events and facility requests
  7. Deposit and record all income for the school
  8. Dispense medication to students and provide basic first aid
  9. Process student lunch counts, maintain and troubleshoot office equipment, and process student immunization records
  10. Facilitate student transportation and make/receive telephone calls
  11. Process overload/stipend payments for building staff, attendance/payroll for the building staff, and the Fourth week student count report
  12. Organize Student registration, Parent/Teacher conferences, and the school newsletter
  13. Schedule monthly faculty meetings and maintain building personnel files
  14. Track the probationary process for teacher tenure, process evaluations of building staff, and maintain school records and files
  15. Review the Principal's mail, greet visitors, and type, prepare, distribute, and file records/reports correspondence etc. related to building functions and Principal needs
  16. Assist/orientate substitute teachers, delegate work as applicable to the position, take/transcribe notes for correspondence and meetings, and attend Open House and parent teacher conference as required
  17. Represent the school in a positive light to parents and citizens

Requirements:

  • High school diploma or general education degree (GED)
  • Minimum of two years previous office experience
