The Supervisor will report directly to the Director of Records Management and will oversee a team of records clerks, ensuring that records and property are processed accurately and efficiently, in accordance with established policies and procedures.


Key Responsibilities:

  • Provide leadership and direction to the records management team, offering guidance and support as necessary.
  • Conduct training sessions for staff on records management protocols, ensuring compliance with relevant regulations.
  • Oversee the intake, retrieval, processing, and distribution of records and property, maintaining a focus on accuracy and efficiency.
  • Manage the secure disposal of records and property in line with retention schedules and legal standards.
  • Update and maintain records management systems, including both electronic databases and physical filing systems.
  • Prepare and review reports related to records management, providing tracking information as required.
  • Conduct regular audits to ensure the accuracy and completeness of records, as well as compliance with retention policies.
  • Assist in the development and implementation of policies for the storage and retrieval of records in accordance with organizational requirements.
  • Collaborate with various departments and external entities regarding records management inquiries.
  • Perform additional administrative and supervisory tasks as needed.

Minimum Qualifications:

  • High school diploma or equivalent, along with three years of experience in records management or a related field, including at least two years in a supervisory capacity.
  • Alternatively, four years of experience in records management or a related field, with at least one year in a supervisory role.

Preferred Skills:

  • In-depth knowledge of records management principles and practices.
  • Proficiency in records management software and Microsoft Office applications.
  • Strong organizational skills and the ability to manage multiple tasks effectively.
  • Attention to detail and a commitment to maintaining confidentiality.
  • Excellent communication and interpersonal skills for effective collaboration.
  • Ability to adapt to changing workflows and manage interruptions.

Work Schedule:

  • Availability to work Monday through Friday, with potential for overtime and weekend shifts.
