Role Summary:

The Program Specialist plays a crucial role in providing administrative support for contract management activities.

Key Responsibilities:
  • Act as the primary point of contact for contract receipt and monitor contracts through to completion.
  • Maintain a log of contracts in the departmental database; respond to client inquiries; collaborate with the Director and Assistant Director on contract assignments; and track the status of ongoing contract negotiations.
  • Assist in formulating policies, procedures, and guidelines, as well as preparing and managing budgets, special reports, and other documentation.
  • Generate weekly, monthly, and quarterly activity reports.
  • Provide various administrative and logistical support.
  • Support the coordination of departmental activities and initiatives.
  • Help maintain and develop departmental databases.
  • Collaborate with sponsors to integrate TEES into their vendor systems.
  • Perform additional duties as assigned.
Qualifications:
  • Bachelor's degree in a relevant field or a comparable combination of education and experience.
  • A minimum of two years of related experience.
Preferred Skills:
  • Experience in Sponsored Research or Contract Management.
  • Familiarity with Maestro ERP System, AggieBuy, and Concur.
Knowledge, Skills, and Abilities:
  • Proficient in word processing and spreadsheet software.
  • Ability to manage multiple tasks and collaborate effectively with others.
  • Strong verbal and written communication skills.
  • Excellent interpersonal, organizational, and customer service abilities.
  • Attention to detail and sound judgment.

The Contracts team is a dedicated group of professionals focused on facilitating innovative research through contracting expertise, industry insights, and close collaboration with Texas A&M Engineering Experiment Station (TEES) and the Texas A&M University System. The team is responsible for negotiating and executing industry-sponsored research contracts and collaborative agreements, ensuring a positive contracting experience for all parties involved.
