LOGISTICS ASSOCIATE

APPARATUS is a designer and manufacturer renowned for its exclusive collection of premium lighting, furniture, and decorative objects. Our products are crafted both in-house and in collaboration with top-tier external partners, and are distributed worldwide.

KEY RESPONSIBILITIES:
  • Serve as the main liaison for freight carriers.
  • Manage both international and domestic outgoing shipments utilizing commercial services (UPS, DHL, FedEx), freight forwarders, and last-mile delivery services.
  • Prepare and finalize all necessary shipping documentation and transactions with each carrier; develop proficiency in the shipping systems of major carriers.
  • Act as the final point of contact and customer service representative between APPARATUS and clients, collaborating with Sales and clients to ensure successful product delivery; maintain comprehensive shipping records and provide tracking and shipping information to clients and the Sales team as required.
  • Offer quotes, status updates, and exemplary customer service to both clients and internal teams.
  • Investigate and resolve shipment issues (e.g., incorrect or returned packages, missed delivery commitments) and assist with client inquiries.
  • Review and approve all freight invoices, flagging those that exceed the quoted amount or are above standard rates.
  • Perform administrative tasks including reconciling and submitting expenses.
  • Utilize Salesforce to access and maintain client and shipment information and communicate with the Manufacturing and Sales teams.
  • Analyze Salesforce reports to prioritize tasks and timelines; organize work to meet those deadlines.
  • Ensure the accuracy of all product information.
  • Identify and communicate all shipping issues to the Director of Warehouse and Logistics and the sales opportunity owner.
  • Acquire and maintain in-depth knowledge of products and departmental operations.
  • Understand the department's operations, its dependencies, and its impact on external processes and personnel.
REQUIRED SKILLS:
  • Excellent verbal and written communication skills.
  • Detail-oriented with strong organizational abilities.
  • Effective time management and follow-through skills to meet deadlines and resolve outstanding issues.
  • Analytical problem-solving skills; proficient in Excel and Salesforce, with the ability to create and utilize reports and dashboards.
  • Sound judgment and decision-making capabilities involving qualitative or subjective measures.
  • Self-driven individual who takes initiative, communicates proactively, and thrives in a culture of excellence.
  • Able to promote open communication, accept delegation, manage upwards, respond effectively to feedback, and seek assistance when necessary.
  • Desire to contribute to a small team, demonstrating flexibility and adaptability to achieve company objectives.
  • Trustworthy with sensitive, confidential, and proprietary information.
  • Annual respirator fit test and medical clearance required.
EXPERIENCE AND QUALIFICATIONS:
  • High school diploma or GED.
  • Experience in a fast-paced environment that prioritizes consistency, efficiency, and excellence.
  • Previous involvement in projects requiring sustained focus over extended periods.
WORK SCHEDULE:
  • Full-time studio hours: Monday-Friday 9:00 AM - 5:00 PM.
  • Availability for longer hours and weekends as needed.
PERFORMANCE REVIEW AND CHECK-INS:
  • Initial skills assessment will occur shortly after the start date.
  • Regular check-ins.
  • Annual performance evaluations.
