Job Overview

Tanner Memorial Clinic is seeking a dedicated Scheduling Supervisor to oversee our appointment management team.

Location: Kaysville

Hours: Full-Time

Key Responsibilities:
  • Supervise the scheduling and switchboard personnel.
  • Ensure optimal staffing schedules to accommodate patient needs and clinic operations.
  • Provide training on scheduling policies and procedures to team members.
  • Assist in resolving complex customer service issues.
  • Handle appointment-related phone inquiries as necessary.
  • Monitor and coordinate physician schedules to ensure efficient appointment management.
  • Support team dynamics and address challenges to maintain a positive work environment.
  • Oversee the recruitment, training, and performance evaluation of scheduling staff.
  • Collaborate with IT to enhance and maintain the scheduling software.
  • Act as a resource for schedulers encountering patient-related issues.
  • Generate and analyze reports on scheduling trends and patient feedback, recommending improvements.
  • Manage various reports, including daily, weekly, and on-call summaries.
  • Coordinate the monthly on-call schedule and communicate updates effectively.
  • Maintain the after-hours/on-call calendar and ensure timely updates.
  • Oversee Televox reporting and scheduling of ASL interpreters.
  • Track and manage physician call history for effective scheduling.
  • Monitor staff call volumes for performance assessment.
Qualifications:

Education:

  • High school diploma is required.

Experience:

  • Prior experience in a supervisory or leadership capacity is preferred.

Additional Requirements:

  • Thorough understanding of medical office operations, ethics, and confidentiality standards.
  • Proficiency in database management and medical office software.
  • Strong analytical skills and problem-solving abilities.
  • Exceptional customer service and communication skills.
  • Familiarity with telephone and voicemail systems.
  • Consistent and reliable attendance is crucial for this role.
