Job Summary

We are seeking a highly skilled and customer-focused Receptionist to join our team at CJE SeniorLife. As a key member of our front desk team, you will be responsible for providing exceptional service to our residents, visitors, and callers, while maintaining a positive and respectful atmosphere.

Key Responsibilities
  • Handle all incoming and outgoing calls, responding promptly and professionally to inquiries and requests.
  • Maintain effective communication with staff and residents through various systems, ensuring seamless coordination and collaboration.
  • Respond to emergency situations, utilizing your critical thinking skills to resolve issues efficiently.
  • Provide a warm and welcoming greeting to all visitors, residents, and callers, demonstrating a deep understanding of our CJE SeniorLife values.
  • Ensure the reception and waiting area are well-stocked with necessary forms, marketing materials, and other resources.
  • Utilize various computer programs to perform administrative tasks, including data entry, mailings, and processing paperwork.
  • Understand and communicate CJE SeniorLife's structure and procedures to visitors and callers, directing them to the appropriate personnel and programs.
  • Communicate messages and information to relevant staff members, ensuring timely and accurate dissemination of information.
  • Distribute and collect job applications, routing them to the Human Resources department for processing.
  • Interact with job seekers in a manner that reflects our CJE SeniorLife values, demonstrating a strong bias towards service, quality, and customer satisfaction.
  • Perform administrative tasks, including data entry, mailings, and processing paperwork, with a focus on accuracy and efficiency.
  • Assist in the development and implementation of office procedures, ensuring seamless integration with existing processes.
  • Coordinate activities with other CJE SeniorLife staff to provide effective and efficient service, prioritizing requests using good judgment to ensure timely resolution.
  • Manage time effectively, attending trainings and staff meetings as required, and assisting in scheduling reception coverage and training back-up receptionists as needed.
Requirements
  • High school diploma or equivalent required; related work experience in an office environment preferred.
  • Excellent customer service and communication skills, with the ability to work effectively in a team environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities.
  • Proficiency in computer programs, including Internet Explorer and MS Office, with the ability to learn new software and systems quickly.
  • Ability to operate the switchboard and speak clearly, with a strong focus on customer service and communication.
  • Experience working with the elderly preferred, but not required.
