SUMMARY:


The Human Resources Administrator plays a crucial role in delivering Human Resources assistance to designated areas within the HR Department for System One Holdings, LLC.

This position is primarily tasked with overseeing and serving as the initial contact for the I-9 and E-Verify Program.

This role also provides essential administrative support to the human resources function, which includes auditing, data entry, record maintenance, and file organization.


ESSENTIAL FUNCTIONS:


Oversees the I-9 and E-Verify program to guarantee completeness and accuracy for all new hires and rehires, ensuring compliance with federal and state employment eligibility requirements, including all necessary documentation.


Tracks and monitors the maintenance, compliance, and auditing of the Form I-9 and E-Verify for all employees, identifying any discrepancies.


Regularly monitors and responds to inquiries in the I-9 Anywhere mailbox, HR mailbox, and HR Group distribution list.

Assists field personnel with questions regarding the validity of I-9 supporting documentation and procedural inquiries.

Monitors I-9 exception reporting and informs field personnel of any non-compliant I-9s following established procedures.


Tracks E-Verify exceptions until resolved for all cases, ensuring closure and providing weekly updates to the field on outstanding cases.

Coaches field personnel on I-9 and E-Verify requirements, guiding them through the completion process.

Facilitates training for new and existing staff on the I-9 and E-Verify program.

Issues credentials for the I-9 Management system to trained and authorized staff members and/or employer agents.

Participates in weekly internal departmental meetings and one-on-one sessions with the supervisor, as well as team meetings.

SECONDARY FUNCTIONS:
Generates additional correspondence as necessary and performs various clerical tasks.

Engages in audits of HR processes as required.

Completes HR project assignments as directed by the Human Resources Manager.

Prepares files and boxes (indexing according to established procedures) for shipment to off-site storage facilities for retention.

Conducts audits of entries into ADP Enterprise HR EV5 as needed.

Performs other duties as assigned.

REQUIREMENTS:
Preferred 2 to 3 years of prior experience in a Human Resources environment.

Ability to identify and resolve issues promptly.

Strong customer service skills and the ability to maintain confidentiality.

Excellent verbal and written communication skills, along with high attention to detail, are essential.

Ability to adapt to the work environment and manage competing priorities effectively.

Proficient in MS Office suite applications (Word, Excel, PowerPoint, and Outlook).

Able to prioritize and address multiple tasks efficiently.

Preferred Education and Experience

Familiarity with I-9 and E-Verify requirements, as well as experience in high-volume, transaction-based, and time-sensitive processing, is advantageous.

Prior work experience in Professional or Staffing Services Human Resources, Recruiting, or roles responsible for onboarding is preferred.

Experience with ADP Systems or EV5 is a plus.
