Overview:
The Air Show Coordinator (ASC) is tasked with leveraging extensive expertise to serve as the primary consultant to leadership regarding policies and protocols that govern air show operations. This role involves the development and orchestration of initiatives, objectives, and activities to ensure the effective execution of directives from command.
Key Qualifications:
- Exceptional communication abilities, with a proven track record of engaging effectively with military personnel, senior officials, and civilian staff. The coordinator must exhibit proficiency in building and maintaining productive relationships with various stakeholders, including local government entities, private organizations, federal agencies, and representatives from the armed services.
- In-depth understanding of relevant laws and regulations that influence the successful management of the four phases of air show execution: planning, preparation, execution, and post-event analysis.
- Comprehensive knowledge of the geographical factors that impact the selection of performance acts and the associated logistical challenges.
- Proficient in project management methodologies, with the capability to apply these skills in a multifaceted environment.
- Familiarity with governmental and local regulations, as well as command directives related to air shows and special events. The coordinator should demonstrate initiative in creating and implementing programs based on established guidelines.
- Significant prior experience in a leadership role for complex air show events.
Responsibilities:
The Air Show Coordinator is accountable for the comprehensive planning, preparation, and execution of air show services.
Key duties include:
- Facilitating coordination among air show committee members responsible for securing military performers.
- Acquiring necessary aviation waivers and managing airspace requirements.
- Designing the air show layout and managing logistics for performers and static displays.
- Overseeing parking, traffic, medical security, staffing plans, and environmental considerations.
- Collaborating with legal, logistics, and public affairs offices to ensure compliance and effective communication.
- Addressing the needs of military and civilian performers and support personnel.
- Coordinating ground communication requirements in partnership with relevant departments.
In addition, the coordinator will:
- Maintain air show policies and operational guidelines.
- Engage with the community to promote awareness and disseminate information about the air show.
- Organize and lead meetings and functions throughout the contract duration.
- Foster positive relationships with local stakeholders.
- Ensure the effective implementation of the air show’s risk management strategy.
- Prepare and communicate installation-specific deadlines for requests.
- Develop and distribute the Air Show Letter of Instruction (LOI).
Collaboration with Marine Corps Community Services (MCCS) is essential for managing air show business activities, including:
- Seating arrangements, signage, staffing, sponsorship, marketing, and program development.
- Providing orientation for incoming support personnel.
- Coordinating the production and distribution of the Air Show newsletter.
- Ensuring consistent communication through dedicated telephone coverage.
The coordinator will also represent the air show at various conventions and community events, including:
- Attending air show meetings and community board sessions.
- Participating in airport commission and city council meetings.
- Addressing community concerns and promoting the air show.
- Engaging with local businesses and potential sponsors.
