Facilities Operations Specialist Reports To:
The Facilities Operations Specialist will report to the Client Services Supervisor, Client Services Manager, or equivalent leadership.

Job Overview:
The Facilities Operations Specialist is responsible for delivering outstanding office and facilities support.

The main focus of this role is to engage in facility operations while also assisting with mail-related tasks such as scanning, sorting, logging, and distributing incoming mail to recipients, as well as processing and shipping outgoing mail.

This position collaborates closely with the Facilities Manager to ensure a safe and clean environment, contributing to an excellent workplace for all.

Additionally, this role will oversee necessary repairs and maintenance for simple issues or report more complex concerns.

Overall, this position consistently provides the highest level of service to all clients and SPS employees while upholding a professional image of the company through prompt, courteous, and efficient service.


Duties and Responsibilities:
Delivers exceptional customer service to all employees across various communication channels. Conducts general and preventative office maintenance and repair tasks. Manages office equipment maintenance and safety inspections. Performs inspections and maintains records of required services. Assembles and sets up office furniture installations. Establishes and nurtures positive relationships with vendors. Organizes, cleans, and stocks breakroom facilities.

Provides services or coordinates support for:

cleaning offices and restrooms, vacuuming, carpet shampooing, floor stripping/waxing, and changing light fixture bulbs. Receives and sorts inbound mail/packages, logging them into a chain of custody software package.

Oversees outgoing mail/package transactions. Distributes mail/packages to company personnel. Conducts daily operations of multifunction devices (ensuring functionality, replenishing toner/paper). Submits work orders for specific requests. Services and replenishes the barista, pantry, conference, kitchen, or meeting areas. Sets up meeting rooms and conference spaces. Facilitates building occupant relocations within assigned facilities. Maintains the Business Service Center area in an orderly manner. Monitors office supply levels and replenishes orders as necessary. Actively seeks additional tasks during downtime. Builds professional relationships with customers and other teams. Maintains professionalism and composure in all employee interactions. Trains backup personnel and provides guidance on policies and procedures. Identifies additional support needs when addressing sensitive inquiries. Offers exceptional customer service to clients. Provides reception or concierge coverage as needed.

Competencies:
Strong verbal and written communication skills in English. Excellent customer service abilities. Proficient in MS Office Suite. Capable of managing multiple tasks simultaneously. Strong organizational skills. Familiarity with multifunction device equipment. Requires knowledge of shipping/receiving procedures and the ability to comprehend instructions. Must be able to work independently and complete projects effectively.

Ability to determine appropriate methods and packing materials, as well as validate packing slips for accuracy of incoming and outgoing materials.


Qualifications and Education Requirements:
High School Diploma (or equivalent) required. 1+ years of relevant work experience preferred. Ability to work assigned hours as determined by management. Excellent organizational and time management skills. Strong analytical and problem-solving abilities. Exceptional written and verbal communication skills. Current knowledge or ability to learn necessary computer-based systems for the role. Required to maintain a professional appearance and demeanor. Adhere to all policies and procedures.

Physical Demands:
Approximately 50% of the time, this position requires the following physical capabilities.

Fine and/or gross motor skills, including the ability to grasp, lift, and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 60 lbs.

Ability to walk, bend, kneel, stand, and/or sit for extended periods. Manual dexterity is required for operating office machinery (phone, copy machines, binding equipment, etc.). Ability to lift or move 40 lbs. or more frequently.

None or negligible.
