The Patient Access Specialist is responsible for managing scheduling, pre-registration, and registration tasks for patients at ThedaCare, ensuring that all necessary information is accurately collected to facilitate high-quality and timely service.
Key Responsibilities:
- Schedule and pre-register patients, ensuring demographic and insurance information is obtained and validated, while maintaining a quality rating of 95% and meeting productivity standards.
- Select appropriate medical records to ensure patient safety.
- Provide clear patient instructions while delivering exceptional customer service.
- Process patient pre-registrations and admissions efficiently and accurately.
- Collect and input essential demographic, clinical, billing, and insurance data from patients or responsible parties to ensure a seamless experience.
- Review patient benefits to generate estimates of financial liability and manage payment collections.
- Reconcile daily payments received.
- Facilitate the distribution of patient forms and correspondence as needed by the department.
- Proactively address access issues that may arise during scheduling, adjusting appointments as necessary to meet patient needs.
- Handle phone inquiries, taking appropriate actions and directing calls to relevant departments when necessary.
- Perform administrative tasks to support the operational needs of the department.
Qualifications:
- High school diploma or GED required.
- 1-2 years of experience in healthcare or customer service preferred.

- Ability to move freely, including standing, walking, bending, and lifting up to 25 pounds without assistance.
