Contract Role (3 months) Work Schedule: Monday-Thursday Hours: 9am-2pm Remote Work on Mondays

We are in search of a Corporate Travel Coordinator and Office Administrator to oversee the travel and expense communication channel, address security concerns, facilitate problem resolution, manage Concur profiles, coordinate office supplies, and handle visitor reception and mail operations. The ideal candidate will demonstrate exceptional communication, organizational, and customer service abilities, be adept in Microsoft Office, and manage multiple responsibilities efficiently while fostering relationships with building management and other stakeholders.

Key Responsibilities:

Support the Travel & Expense communication channel by addressing policy inquiries and card-related questions. Manage security issues, including fraud, lost or stolen cards, and compromised accounts. Serve as a liaison to facilitate problem resolution. Address concerns from program managers and leadership. Oversee inquiries and processes related to card applications, expectations, and delivery. Handle card issuance, closures, and expedited delivery requests. Assist with card maintenance, including account edits and profile updates. Manage account controls, including overrides and temporary limit adjustments. Act as a resource for Concur inquiries across regions. Fulfill ad hoc report requests related to Concur. Provide assistance to employees regarding issues with the Corporate Travel site. Manage Americas Concur Profiles, including setup, termination, and updates. Oversee visitor reception and coordination, ensuring their needs are met and meeting rooms are organized. Plan and coordinate office events. Collaborate with the IT department to ensure all office equipment is functioning properly. Manage courier, mail, and messenger operations. Control and order office supplies, including refreshments. Maintain inventory control and anticipate reorders. Build and maintain relationships with building administration.

Required Qualifications:

1-3 years of experience in office management, corporate travel, or expense management roles (preferred but not mandatory). Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Familiarity with Concur Travel and Expense Management software. Knowledge of corporate travel management tools and platforms. Excellent verbal and written communication skills. Strong interpersonal skills to act as a liaison and facilitate problem resolution. Ability to handle sensitive and confidential information with discretion. Exceptional organizational skills to manage multiple tasks and priorities. Keen attention to detail. Strong customer service orientation with adaptability to changing priorities.
