Purpose Statement
The Records Specialist plays a crucial role in ensuring the accuracy and currency of student and employee records. This position is vital for maintaining compliance with educational regulations and providing essential administrative support to the district's leadership team. The Records Specialist also focuses on managing records for students placed in Private Day Schools, requiring meticulous attention to detail, confidentiality, and the capability to juggle multiple responsibilities effectively.
Key Responsibilities
Management of Student Records:
- Oversee the maintenance and updating of student records, including enrollment, attendance, academic performance, special education documentation, and transcripts.
- Ensure secure storage of records in alignment with district, state, and federal regulations.
- Handle requests for student records and transcripts from various stakeholders.
- Input and revise student information within the district's database.
- Produce and disseminate reports on student data as required by school administrators and educators.
- Assist in compiling state and federal reports concerning student information.
- Facilitate employee verification processes.
- Guarantee secure storage of employee records in compliance with relevant regulations.
- Process requests for employee records from staff and external entities.
- Manage requests for public records (FOIA).
- Maintain communication with relevant departments regarding these requests.
- Respond to requests promptly.
- Deliver exceptional customer service and ensure timely, accurate responses to all record-related inquiries.
- Assist with general office tasks, including filing, copying, and phone management.
- Support the administrative team with special projects and assigned tasks.
- Manage office supplies and inventory related to records management.
- Collaborate with the Accounting Specialist - Special Education to process invoices and purchase orders related to Private Day Schools.
- Oversee student enrollments in Private Day Schools.
- Coordinate course schedules for students in Private Day Schools.
- Assist colleagues to support the completion of their work activities.
Experience: Relevant job experience with increasing responsibilities is preferred.
Education: High School diploma or equivalent.
Certifications/Clearances: Must possess a valid Arizona DPS Level One IVP Fingerprint Clearance Card while employed.

FLSA Status: Non Exempt
Pay Schedule: Hourly - Grade 109
Work Calendar: Support 12 Month Short
