Job Summary:

We are seeking a highly skilled and organized Receptionist to join our team at AutoHire in Miami. The ideal candidate will have excellent communication skills, be able to work independently, and possess a high level of adaptability.

Key Responsibilities:

  • Greet and assist visitors, including service vendors and agencies.
  • Operate a switchboard, route incoming calls, and take messages when necessary.
  • Perform courier tasks, sort and organize materials, and file documents in alphabetical, numerical, or chronological order.
  • Conduct light clerical duties including typing, faxing, copying, filing, and document processing.
  • Prepare mass mailings and ensure the accuracy of addresses.
  • Use a computer for various tasks, including typing at a minimum speed of 40 words per minute.
  • Produce written documents using advanced word processing functions based on drafts or electronic files.
  • Arrange transportation services when required.
  • Perform data entry and act as a back-up time and attendance clerk.

Requirements:

  • High School diploma or equivalent.
  • Ability to type a minimum of 40 words per minute.
  • Ability to adapt to changing work schedules, respond to unexpected changes on short notice, and work independently with minimal supervision.
  • Proven experience in maintaining positive working relationships with colleagues, administrative staff, the public, and external vendors or agencies.
  • Skilled in operating office equipment such as a switchboard, computer, and other general office machines.
  • Experience working in a high-volume environment with strict deadlines.
  • Familiarity with general office equipment and word processing software.
  • Proficiency in using email systems.
  • Must be eligible for or able to maintain a relevant security clearance.
  • U.S. Citizenship required.

Working Conditions:

The Receptionist will work in a fast-paced office environment with frequent interruptions. The ideal candidate will be able to multitask, prioritize tasks, and maintain a high level of professionalism at all times.
