This role operates Monday through Friday, comprising a full-time schedule of 40 hours, with hours ranging from 7:30 am to 4:00 pm.

Occasionally, the position may require a shift extending to 5:30 pm, and flexibility to assist at various locations may be necessary.

The Healthcare Patient Services Coordinator is tasked with executing established processes and protocols efficiently.

Collaboration with all care team members is essential to uphold the organization’s vision and mission, deliver outstanding customer service, and adhere to Lean methodologies.

This role plays a vital part in helping the team achieve financial, clinical, and service objectives.

Key Responsibilities:
Welcome patients and manage the check-in process
Gather or confirm demographic details, including essential information
Update or load insurance data as required
Verify eligibility and flag appointments accordingly
Scan insurance documentation
Collect co-payments and outstanding balances
Record payments in the practice management system and issue system-generated receipts
Ensure patient acknowledgment in the PM system
Schedule appointments following approved guidelines
Utilize call processing and other functionalities in the EHR to relay messages and communicate with clinicians
Oversee daily reminder call logs; reach out to patients needing appointments; follow up with patients who missed appointments for chronic conditions or preventive care
Handle referral documentation promptly
Work daily in the claims edit work queue to rectify registration errors for insurance submissions
Comfortable operating in a fast-paced environment
Monitor administrative tasks in the EHR and respond promptly
Scan and index documents into the EHR; ensure necessary documents, lab results, etc., are available before patient visits
Close payment batches at the end of each shift, assembling and balancing batches according to cash control procedures
Assist colleagues as needed to ensure smooth office operations and the delivery of excellent service through teamwork
Exhibit respect for patients and staff by maintaining a friendly, courteous demeanor at all times and ensuring patient confidentiality
Perform additional duties as assigned

Required Qualifications:
High School Diploma/GED (or higher)
1+ year of experience in a receptionist role
Intermediate proficiency in computer skills (including Microsoft Outlook, Teams)
Willingness to travel 25% of the time to support other offices as needed

Preferred Qualifications:
Experience with electronic health records
Background as a receptionist in a healthcare environment
Familiarity with medical terminology
Administrative/Receptionist/Clerical experience in a medical setting
Customer service experience in retail, hospitality, etc.
Knowledge of ICD-10 and CPT coding

Soft Skills:
Ability to work independently while demonstrating good judgment and accountability
Proven ability to collaborate effectively with healthcare providers
Strong organizational and time management skills
Capacity to multitask and prioritize tasks to meet deadlines
Excellent verbal and written communication skills; ability to convey information clearly and concisely, as well as interpret information from others
