Natural Grocers is seeking an experienced HR Leave Specialist to join our team. As an HR Leave Specialist, you will be responsible for providing strategic support of HR policies and initiatives, including management and oversight of Worker's Compensation, leaves, and ADAAA processes and administration.
Key Responsibilities- Consult with management and staff to ensure understanding and compliance with COVID, FMLA, ADAAA related leaves as provided by Natural Grocers.
- Partner with HR Business Partners and management regarding return to work integration, ADA accommodations, and work modification as it relates to Workers Compensation processes.
- Manage American with Disabilities Act Amendments Act (ADAAA) process, including engaging in the interactive process and reviewing all medical documentation and accommodation requests.
- First point of contact for all injured workers and provide continued support, including managing the Transitional Duty program for occupational injuries (return to work).
- Partner with staff and management to complete required leave paperwork; review and approve completed leave paperwork while ensuring compliance with federal and state regulations.
- Provide technical expertise to staff and management by explaining leave policies, procedures, and timelines and resolving problems or issues.
- Manage multiple leave cases daily, including tracking and maintaining electronic data and files.
- Lead manager-level trainings on Leaves and ADAAA and company policies related to these topics. Also, lead Workers Compensation and Reasonable Suspicion training.
- Alert management of high-risk situations.
- Make recommendations for new and/or revised policies and procedures for leave administration and implement all approved changes.
- Attend continuing education related to both current and new regulations related to FMLA, ADAAA, and Workers Compensation administration.
- Maintain OSHA recordkeeping in HRIS, including creating the 300 logs & 300A summaries, and is responsible for yearly OSHA online and store reporting and postings.
- Research, analyze, and provide guidance regarding Workers' Compensation and all other leave policies.
- Produce bi-weekly, monthly, and quarterly reports as required to management.
- Partner with the Safety Manager to support safe work practices.
- Coordinate and communicate with Workers Compensation Claim Adjusters and Nurses on a continual basis to ensure claims are handled in a timely manner.
- Coordinate with the Benefits and Payroll departments to ensure compensation transactions are complete and accurate.
- Perform other duties or projects as assigned.
- High school diploma, GED, or equivalent experience is required; college degree a plus.
- Minimum 2 years of experience in Human Resources with a broad base of all HR disciplines and application; onboarding to separation, administering FMLA, Leaves of Absence, ADAAA requests.
- Minimum 1-year experience managing all aspects of Workers Compensation.
- Knowledge of HR laws, Federal and State, including FMLA, ADA, Workers' Compensation, and general HR governing policies.
- Multi-state and multi-site level experience preferred.
- Strong facilitation and conflict management skills while maintaining strong customer service orientation required.
- Demonstrated effective judgment in managing difficult situations with the ability to respond to situations with urgency, in a calm and proactive manner.
- Ability to maintain a high level of confidentiality regarding employee information, especially as it relates to HIPAA requirements.
- Excellent written and oral communication skills with the ability to communicate professionally and effectively in person, on the phone, electronically, or through other means to individuals or groups, even under stressful and emotional conditions.
- Must have strong analysis and decision-making skills.
- Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
- Computer proficiency and technical aptitude utilizing MS Office products and HRIS systems.
- Possesses general business acumen and financial knowledge.
- Strong organizational and time management skills.
