The King County Library System (KCLS) is on the lookout for a friendly and organized Program Assistant to join our Adult & Community Services Department.
Position Highlights:
As a Program Assistant, you will play a crucial role in providing administrative support for the planning and execution of library outreach and service programming throughout the year. Your responsibilities will include:
- Coordinating contracts and managing long-term program logistics.
- Facilitating communication with regional Librarian teams.
- Tracking external vendor and performer contracts, as well as budget management and reporting.
- Proofreading program publicity materials for accuracy.
- Taking notes during ongoing system meetings.
Your efforts will directly contribute to the success of library staff in delivering high-quality programs and services to the community. You will ensure timely communication regarding contracts, invoices, and other essential information to Librarians, program presenters, and performers.
Collaboration and Teamwork:
In this role, you will work closely with your peers in the Program Assistant team, sharing the workload and providing support to ensure the ongoing success of library programs. Your insights into workflow will be valued, and you will have the opportunity to contribute to continuous improvement initiatives.
Work Schedule:
This position typically operates Monday through Friday, with a standard schedule of 9 am to 5 pm, though flexibility may be required based on organizational needs.

Key Responsibilities:
The following duties may be performed, although not all incumbents will perform every task:
- Act as the primary contact for library staff regarding departmental services and programs.
- Assist in resolving service-related issues.
- Manage records and information pertinent to departmental services.
- Prepare and distribute materials necessary for program support.
- Monitor office inventory and manage supply orders.
Qualifications:
To be successful in this role, candidates should possess:
- A high school diploma or GED equivalent.
- A minimum of two years of relevant experience, or an equivalent combination of training and experience.
- Proficiency in office software and database systems.
