Position Overview

Ophthalmic Consultants of Boston (OCB) is in search of a seasoned Healthcare Operations Manager to lead their Retina division. This full-time role is pivotal in ensuring optimal operational efficiency and patient care.

Key Responsibilities:

The Healthcare Operations Manager (HOM) will oversee the administrative functions of a specific service line or sub-specialty (e.g., Retina, Glaucoma, Surgery) to formulate, execute, and assess policies, procedures, and workflow systems aimed at delivering high-quality, cost-effective patient care while achieving OCB's strategic objectives. The HOM will devise effective strategies to enhance satisfaction among patients, providers, and staff. Utilizing the Lean Six Sigma methodology, the HOM will focus on improving efficiency and minimizing waste in daily operations. Collaborative goal-setting with fellow managers will ensure uniform standards for all administrative personnel. The role includes managing patient communications, scheduling, and provider templates.

Qualifications:

The ideal candidate will possess extensive experience in healthcare management, demonstrating exceptional leadership, interpersonal, and communication skills, along with a strong initiative, sound judgment, and decision-making capabilities to meet organizational goals. A creative problem-solver with a customer service orientation and dedication to quality patient care is essential.

  • Bachelor's degree or equivalent experience is required.
  • A minimum of five years of progressive management experience in healthcare administration is essential.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, OneNote, and Teams) is necessary, with desirable experience in Microsoft Teams, SharePoint, and Epic.
  • Familiarity with Lean Six Sigma principles is preferred.
  • A proven track record of building and leading cohesive teams is required.
  • Strong communication skills to effectively engage with physicians, staff, and patients are essential.
  • Excellent analytical and problem-solving abilities are a must.
  • Experience in budget management is strongly preferred.
  • Knowledge of Ophthalmology is advantageous but not mandatory.

The HOM will foster a culture of respect, collaboration, and equity among staff, providing leadership and support to meet the needs of providers, patients, and team members. Close collaboration with providers within the assigned subspecialty will be essential to address challenges, manage sensitive issues, and ensure success in financial, staffing, and patient satisfaction metrics.

Practice Development & Financial Performance:

  • Collaborate with providers and clinical management to optimize subspecialty coverage across OCB locations, including managing provider leave requests.
  • Work with clinical leads to enhance the efficiency of provider scheduling templates, ensuring regular reviews and necessary adjustments.
  • Build and maintain positive relationships with referring providers by ensuring efficient patient scheduling and timely communication post-evaluation and treatment.
  • Analyze Patient Satisfaction Surveys to implement quality improvement processes, monitoring results monthly.
  • Manage staffing and operational costs to maintain budget compliance.
  • Oversee scheduling templates, including code utilization and adjustments, utilizing QGenda to manage schedules in Epic.
  • Maintain the specialty SharePoint page, ensuring it is updated with relevant information and calendars.

Team Leadership:

  • Recruit, train, and supervise staff to ensure high-quality patient care and customer service.
  • Conduct regular staff meetings, performance evaluations, and set objectives and goals, while managing workflow planning and scheduling.
  • Participate in weekly management meetings and monthly service reviews.
  • Oversee supply ordering and budget adherence for the specialty.
