The Client Support Specialist plays a crucial role in managing incoming communications, coordinating service appointments, and executing various administrative responsibilities. As the initial point of contact for clients, this position demands a commitment to delivering exceptional service, professionalism, and efficiency.
Reporting Structure: This role reports directly to the Office Manager and does not have supervisory responsibilities.
Key Responsibilities:
- Professionally handle all incoming calls, ensuring appropriate actions such as transferring calls, paging relevant personnel, or taking messages.
- Build and maintain strong relationships with clients, ensuring a high standard of service is consistently provided. Address any concerns or issues promptly and escalate unresolved matters to management.
- Coordinate scheduling for services or inspections, providing relevant details to the Sales or Pest Management Professionals.
- Manage rescheduling of appointments as necessary and promptly inform the relevant professionals of any changes.
- Keep customer records organized and current.
- Field inquiries from field staff and provide necessary information as needed.
- Maintain an accurate and up-to-date customer database, correcting any discrepancies as required.
- Assist with data entry for accounts payable and receivable within the computer system.
- Conduct research on payment histories or other requested information, verifying invoices or payments for accuracy.
- Follow up with clients regarding overdue invoices to facilitate timely payments.
- Stay informed about current industry trends, products, and technologies.
- Support the maintenance of office equipment, reporting any issues with computers, phones, copiers, or other devices to management.
- Distribute faxes, mail, and other communications to the appropriate individuals.
- Assist in research tasks, making phone calls, and preparing reports, letters, and general correspondence as needed.
- Participate in meetings and carry out additional administrative tasks as required.
- Perform other duties as assigned.
