The successful candidate will be responsible for managing documents, coordinating travel arrangements, and planning events, with opportunities to progress to marketing or compliance roles.

The ideal candidate will have excellent communication skills, be a self-starter, and be able to work independently with minimal supervision. The role involves managing office expenses, greeting visitors, and handling mail and packages.

Key responsibilities include:

  • Document Management: downloading and managing financial reporting documents, transaction documents, and annual meeting documents.
  • Fund Actions Management: overseeing required actions, such as proxy votes and fund amendments.
  • Financial Management: managing office expenses.
  • Office Administration: greeting visitors, answering the phone, and managing office supplies.
  • Travel / Attendance Management: managing travel for employees and executives.
  • Event Management: planning and coordinating firm events and celebrations.
  • HR / Benefit Support: supporting employees with benefit-related issues and tracking vacation time.
  • Document Production: coordinating the production of presentation books for client meetings.

Requirements:

  • Four-year college degree.
  • Experience working in an administrative or executive administrative role.
  • Solid technical proficiency, including knowledge of Microsoft Office and related applications.
