As a vital member of the Hopkins Bloomberg Center (HBC) Operations team, we are in search of a Senior Human Resources Coordinator who will deliver comprehensive human resources assistance and advisory services to departmental leaders, supervisors, and personnel. This role encompasses various areas including recruitment and hiring, salary management, employee relations, training and development, information oversight, performance evaluation, benefits guidance, records administration, payroll duties, HR policy clarification, and information distribution. Additionally, this position may involve activities related to employee engagement and recognition.

Key Responsibilities

General HR Consultation

  • Offer guidance to employees and management on HR matters, including HR practices and institutional policies, employee relations, compensation, training, recruitment, and benefits.
  • Provide insights regarding HR programs available within the institution.
  • Facilitate employee engagement through the creation of departmental action plans.
  • Coordinate with HR Central, Payroll shared services, and the Benefits office to serve as a liaison for all new and existing staff.

Employment Management

  • Collaborate with managers to gather necessary information for job postings and monitor the process until positions are publicly advertised.
  • Ensure new hires are properly onboarded and recorded in the system.

Time Management

  • Work closely with the HR team to ensure compliance with relevant policies and procedures, including adherence to state and federal regulations regarding Family Medical Leave and other labor laws.
  • Oversee initial departmental efforts related to Family Medical Leave (FMLA) and short-term disability (STD), including parental and recovery leave. Collaborate with divisional administrations on the submission of necessary documentation.
  • Track and send reminders for various compliance-related requirements such as training sessions and health initiatives.

Employee Relations

  • Assist in collecting sensitive information for HR-related issues, including disciplinary actions.
  • Conduct exit interviews for employees who are leaving or transferring, retrieve identification badges, and address inquiries related to final compensation and benefits.
  • Support attendance management and other employee relations activities.
  • Monitor performance management processes such as annual evaluations, goal setting, and progress reviews.
  • Continuously assess existing programs and engage in the improvement of systems and processes or the development of new initiatives.

Payroll and Compensation

  • Coordinate the annual merit review and introductory review processes, notifying divisional management accordingly.
  • Assist in initiating annual merit increases.
  • Ensure accurate documentation is received regarding compensation-related changes.
  • Prepare, initiate, and process all relevant transactions including hiring new employees, salary adjustments, personal data changes, position attribute changes, leaves of absence, and other complex transactions.
  • Resolve any payroll discrepancies.
  • Ensure that necessary paperwork is completed by new hires and assist with I-9 documentation as needed.
  • Perform additional duties and projects as assigned.
Minimum Qualifications
  • Bachelor's Degree in Human Resources, Business Administration, or a related field.
  • A minimum of three years of relevant experience.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education, as permitted by the institution's equivalency formula.
