Radiation Oncology Department Coordinator

We are seeking a highly skilled and organized Radiation Oncology Department Coordinator to join our team at WVU Medicine. As a key member of our department, you will play a vital role in ensuring the smooth operation of our front office.

Key Responsibilities:
  • Coordinate daily department operations, providing personnel support, training, and process improvement.
  • Provide input on front office personnel performance evaluations and recruitment.
  • Ensure daily compliance with uniformed methods and standards of department operations in line with hospital policies, objectives, CQI process, and safety.
  • Participate in administrative staff meetings with Manager.
  • Order and maintain appropriate economical and medical supplies and inventory for department operations.
  • Type, edit, and compose reports and correspondence of routine nature, as well as matters requiring confidentiality.
  • Coordinate travel arrangements and itinerary (staff and physicians).
  • Coordinate physician, department, and personal meetings/appointments. Ensure appropriate physician coverage as needed. Monitor and reconcile provider and department schedules.
  • Screen telephone calls, and route calls to appropriate party. Answer questions within area of knowledge.
  • Maintain responsibility for all incoming mail. Screen all incoming correspondence. Answer routine correspondence independently.
  • May attend meetings and take Minutes.
  • Organize interview times and locations for potential department hires.
  • Manage conference room requests and verify the room is organized prior to scheduled meetings.
  • Review and enter data into Kronos, submits payroll.
  • Build department scheduling templates in Epic and Aria.
  • Manage multiple work queues within Epic and Aria.
  • Work directly with Authorization Specialist to provide specific treatment information to acquire insurance authorization for Radiation Oncology services.
  • Handle queries from professional and technical billing services over two locations.
Requirements:
  • High school diploma or equivalent.
  • Three years' experience in office administration/coordination.
  • Experience with medical terminology.
Preferred Qualifications:
  • Associates Degree.
  • Experience with Epic and Aria systems.
Physical Requirements:
  • Manual dexterity in order to operate office equipment.
Working Environment:
  • Travel may be required.
  • Office Environment.
Skills and Abilities:
  • Basic computer knowledge and ability to operate standard office software required.
  • Possess leadership qualities and ability.
  • Skilled in Microsoft Office Suite software applications, including, but not limited to, Word, Excel, Access, Power Point and Outlook.
  • Good verbal and written communication skills.
  • Basic mathematical skills.
  • Ability to deal tactfully and harmoniously with patients, visitors, and staff.
  • Ability to work effectively in stressful situations to prioritize and perform detailed assignments.
