Summary of Position

Under the guidance of the City Clerk, this role encompasses a variety of administrative responsibilities, performing detailed and essential clerical tasks while providing support to the Mayor, City Clerk, and City Attorney on confidential matters.

In the absence of the City Clerk, this position will assume the responsibilities of Deputy City Clerk.

Key Responsibilities

  • Execute clerical tasks such as answering calls, sorting mail, photocopying, and transcribing various documents including letters, resolutions, and legal materials.
  • Deliver exceptional customer service to residents.
  • Draft correspondence including letters, resolutions, and proclamations.
  • Assist in the preparation of agendas, draft minutes for meetings, and ensure publication on the City website.
  • Compile Council packets for elected officials and media during the City Clerk's absence.
  • Facilitate the issuance of licenses and maintain the bartender license and staff ID system.
  • Support the City Clerk with election preparations and manage absentee voter databases.
  • Collaborate with the City Clerk, Mayor, and City Attorney on assigned tasks.
  • Maintain and update City webpages and social media for the Mayor, City Clerk, and City Attorney.
  • Prepare legal documents after consulting with the City Attorney and maintain organized case files.
  • Assist the City Attorney with municipal court duties and claims processing.
  • Monitor office supplies and equipment, ensuring timely procurement for the Mayor, City Clerk, and City Attorney's offices.
  • Participate in training relevant to Deputy Clerk duties.
  • Uphold the public image and relations of the City of Menasha.
  • Perform other duties as assigned.
Qualifications

  • High school diploma or equivalent required; Associate's degree preferred.
  • Minimum of three years of experience in an administrative role.
  • Proficient typing skills with a minimum of 50 words per minute.
  • Strong command of English and grammar.
  • Ability to prepare clear and concise reports.
  • Efficiently meet deadlines and operate office equipment.
  • Proficient in Microsoft Office Suite and database management.
  • Ability to maintain effective working relationships with various stakeholders.
  • Excellent oral and written communication skills.
  • Some overtime may be required.
Certificates and Licenses
  • Valid Wisconsin Driver's License.
  • Wisconsin Municipal Clerks Institute Certificate is desirable.
  • Notary Public certification is desirable.
Physical Demands

The physical demands of this position require regular sitting, standing, and walking, with occasional light to medium lifting. Specific vision abilities include close and distant vision, peripheral vision, and depth perception.
