The Litigation Client Services Coordinator position is pivotal in delivering administrative support to a team of legal professionals by executing intricate administrative tasks utilizing specialized knowledge of the relevant practice areas.
This role emphasizes collaboration and teamwork, ensuring the highest quality of service is provided to both internal and external clients.
KEY RESPONSIBILITIES:
Attorney Support
Deliver exceptional client service by managing and directing calls with professionalism and efficiency, while also providing additional client support as necessary.
Engage closely with attorneys and clients to facilitate the smooth exchange of information.Oversee the management of client-specific data to improve the overall service experience.
Prioritize and manage the workflow of assigned tasks and projects, ensuring timely completion and coordination with other support services.
Possess a working knowledge of court regulations (both federal and state), including document preparation, electronic filing, and processing.Manage attorney schedules and assist in meeting critical deadlines, as well as coordinating travel arrangements for attorneys and clients.
Draft legal documents, memoranda, and correspondence from initial drafts or dictated notes. Create, edit, format, and proofread documents, spreadsheets, and presentations with a keen eye for detail and accuracy.Support multiple attorneys as a primary responsibility while also providing additional assistance, backup, and coverage for other Client Service Specialists on the team.
Transmit legal documents, memoranda, and correspondence to clients, witnesses, and court officials through various channels including electronic filing, fax, email, and postal services.
Process new business requests in collaboration with the New Business Intake Team by initiating new matters, preparing and reviewing conflict submissions, closing matters, and maintaining client case files using appropriate recordkeeping systems.
Ensure all critical deadlines and action dates are accurately entered into a calendaring system and maintained effectively.
Collaboration and TeamworkWork proactively with Legal Team Assistants to achieve shared objectives.
Collaborate with resources, including the Attorney Resource Center, as needed to complete tasks and projects.
Adhere to all firm policies, procedures, standards, and guidelines while upholding confidentiality.
ADDITIONAL RESPONSIBILITIES:
Perform other related duties as assigned.
QUALIFICATIONS (EXPERIENCE, KNOWLEDGE, SKILLS, AND ABILITIES):
Education:
Preferred: Associate's Degree; Bachelor's Degree is advantageous; relevant work experience may be considered in lieu of formal education.
Experience:
A minimum of five (5) years of relevant experience in a law firm or legal/corporate department is required.
Knowledge, Skills, & Abilities:
Demonstrated ability to gather and summarize data for reports, identify solutions to various administrative challenges, and prioritize tasks effectively.
Must exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, high-pressure, detail-oriented work environment, utilizing excellent judgment and decision-making skills.
Exceptional verbal and written communication skills are essential. A high level of interpersonal skills is required to handle sensitive and confidential matters.This position demands a highly professional demeanor and appearance, including poise, tact, and diplomacy.
Ability to maintain the highest level of confidentiality while providing outstanding customer service to both internal and external clients/contacts.
Proven proficiency in legal terminology and experience in relevant practice areas.
Experience with court and administrative agency filings and adherence to related deadlines.
Possess a high level of proficiency in using various office equipment, including personal computers, telephones, transcription devices, printers, and copiers.
Keyboarding skills of 60 wpm or higher are required.Intermediate-level proficiency in the MS Office Suite, including Outlook, Word, Excel, and PowerPoint, is necessary.
WORK ENVIRONMENT & PHYSICAL DEMANDS:
This role operates in a clerical office environment. Standard office equipment is routinely used, including computers, telephones, printers, and copiers.
PHYSICAL REQUIREMENTS
Medium Work:
Involves exertion of physical strength to lift, carry, push, pull, or otherwise move objects weighing between 20 to 50 pounds frequently, and/or greater than negligible up to 10 pounds.
VISUAL ACUITY
Requires close visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading.
