Job Title: Scheduling Coordinator

Forest Glen Health Campus is seeking a highly skilled Scheduling Coordinator to join our team. As a Scheduling Coordinator, you will play a critical role in planning, developing, and implementing the nursing service department's programs and activities.

Key Responsibilities:
  • Assist the Director of Health Services in planning, developing, and implementing the nursing service department's programs and activities.
  • Develop methods for coordination of nursing services with other resident services to ensure continuity of care.
  • Participate in facility surveys and inspections as directed by the Director of Health Services or Executive Director.
  • Create and post the campus' four-week Master schedule in accordance with the Campus Hourly Scheduling policy.
  • Make staffing adjustments as needed to ensure adequate staffing levels.
  • Manage employee PTO requests, holiday rotations, and shift trades.
  • Generate required postings, including BIPA, daily assignment sheets, and monthly schedules.
  • Monitor nursing hours and staff ratios to ensure compliance with regulations.
  • Anticipate staffing needs and recruit employees to minimize open positions.
  • Maintain and monitor Preceptor needs.
  • Utilize Smartlinx's functionality to post open shifts, fill open shifts, and communicate with employees.
  • Meet with new employees to review their schedule and ensure a smooth onboarding experience.
  • Assist with onboarding coordination and classes.
  • Adhere to scheduling standards, Smartlinx utilization, and best practices.
  • Provide direct nursing care as necessary.
  • Complete scanning and attaching of resident documentation in MatrixCare to ensure accurate medical records.
  • Maintain ordering and stocking of supplies.
  • Rounds on each shift to review staffing levels.
Requirements:
  • Mathematical calculations and analytical skills to gather and compile information and analyze discrepancies.
  • Project management skills to manage multiple tasks simultaneously and adhere to deadlines.
  • Research skills to stay up-to-date on state, federal, and human resources laws and regulations.
  • Strong organizational skills with attention to detail.
  • Conflict resolution principles and techniques.
  • Ability to communicate effectively, both orally and in writing, and identify and recommend solutions to problems.
  • Ability to operate standard office equipment and use required software applications.
  • Ability to maintain confidentiality and professional discretion.
  • Ability to work independently and collaboratively within a team environment.
Preferred Qualifications:
  • Technical procedures of governmental laws, regulations, and guidelines that pertain to the long-term care industry.
  • SmartLinx, ICIMS, and KeyStats computer systems.
  • Compliance with external regulatory agencies and organization for all areas of responsibilities.
  • Unencumbered C.N.A or QMA/KMA/Med Tech certification or LPN/RN License in the state currently working.
