Position: HubSpot Coordinator
Role Summary:
The HubSpot Coordinator serves as a vital link between MindCare Treatment teams and partner sites. This role involves scheduling, facilitating, and coordinating clinical activities, appointments, and information exchange across various sites and healthcare professionals utilizing telemedicine technology. As part of a multidisciplinary team, the HubSpot Coordinator ensures the delivery of high-quality telemedicine services while adhering to company policies and partner site requirements.
Compensation: $25/hour
Work Schedule: (M-F) 3:30pm-12:00am EST - remote
Key Responsibilities:
- Facilitate safe and effective clinical consultations.
- Collaborate closely with physicians and client staff to ensure timely and accurate reporting of medical records, schedules, billing, utilization, and outcomes.
- Manage and coordinate schedules and appointments, including pre-appointment chart preparation and delivery of final encounter notes and supporting documents.
- Operate video conferencing equipment, telemedicine, and electronic medical record systems.
- Assist client sites in optimizing clinical time and communicate changes in provider availability promptly.
- Adhere to appropriate billing and documentation procedures.
- Support sites with patient selection and informed consent processes.
- Administer screening tools to patients.
- Conduct and log customer satisfaction checks as required.
- Perform additional duties as necessary.
Required Skills and Qualifications:
- Ability to work independently with minimal supervision.
- Strong teamwork capabilities.
- Excellent verbal communication skills with a focus on customer service.
- Proficient written communication and documentation skills.
- Flexibility to work hours as needed to meet facility and patient demands.
- High integrity and exceptional problem-solving skills.
- Strong organizational abilities and capacity to meet deadlines.
- Proficient in using personal computers and familiar with Microsoft Office Suite and medical office software, including electronic medical record systems.
- Understanding of and commitment to maintaining the confidentiality of patient information.
Education and Experience:
- 3 to 5+ years of experience in a behavioral health facility or practice focused on psychiatric/mental health treatment, or equivalent.
- 2+ years of experience in practice administration, including scheduling, record keeping, and billing.
- Experience with telehealth technology, including video conferencing.
- Knowledge of psychiatric medications and acute psychiatric service lines is strongly preferred.
