Job Summary

We are seeking a highly skilled and experienced Program Management Specialist to join our Omnium Change Management team. The successful candidate will be responsible for supporting the software development lifecycle for the Omnium Platform, a multi-tenant platform supporting mainly Hedge Fund Services (HFS), a global fund administrator.

The ideal candidate will have a strong technical background, experience working within the Financial Services industry, and a proven track record of solving business problems, managing projects, and internal/external relationships. This is a dynamic and fast-paced role that requires a self-starter with excellent leadership and communication skills.

Key Responsibilities
  1. Responsible for project managing highest priority and most complex strategic initiatives that cross multiple workstreams in alignment with executing on HFS' business strategy.
  2. Define the project approach and execution plan, including scope, risks, resources, prioritization, implementation, and overall communication and governance.
  3. Manage and collaborate with multiple stakeholders, clients, IT developers, vendors, Agile Managers, and Product Solutions.
  4. Facilitate sessions to define the problem statement or business case of the initiative to identify expected project benefits.
  5. Clearly define appropriate scope of work (in-scope and out-of-scope), business value, impacted clients, and create a process for change requests.
  6. Work with the team to define incremental milestones that will deliver value and metrics to measure success against.
  7. Define project framework and governance structure that will be used throughout the project, including materials, meeting cadences, key decision makers, roles, and responsibilities of the team members, and escalation paths.
  8. Use sound judgment to escalate issues appropriately and timely, including solution options and associated impacts to drive effective decision making.
  9. Demonstrate critical thinking to anticipate and connect opportunities to drive the project forward and resolve challenges/escalations.
  10. Collaborate with Agile Manager and Product Solutions to stay informed on software development to ensure the delivery plan is executed against agreed milestones.
  11. Collaborate with Agile Management and Product Solutions to create a roadmap visualization for development delivery and maintain ownership of the initiative/feature-level roadmap tracking against plan.
  12. Create and present project status materials, including dashboards, global forum, roadmap visualizations, and fit-for-purpose highlights/impacts, ensuring the right level of information is articulated clearly for the audience.
  13. Manage project closure responsibilities, including project documentation, implementation of new processes, training, and communication of best practices learned.
  14. Manage multiple complex initiatives involving multiple stakeholders, clients, IT developers, Agile Managers, etc., and/or ambiguous issues at a time.
  15. Demonstrate leadership within the team, effectively lead meetings, drive agendas, set high expectations, hold team accountable for results, be proactive on execution, and follow up on takeaways.
  16. Understand the business functions, clients, and products to think strategically, effectively lead the team through change and solution issues.
  17. Display a balanced, cross-functional perspective, liaising with the business and working with the team itself to improve efficiency, effectiveness, and productivity in project execution.
  18. Manage budget monthly for stakeholder transparency and effectively communicate correct PPM timecodes for the team as a key input.
  19. Manage vendor management responsibilities that align to the Northern Trust standards, as applicable.
  20. Demonstrate strong collaboration with others and high emotional intelligence to build productive and strategic relationships.
  21. Self-starter, performs independently with little supervision and coaching, leads, and directs the efforts of team(s) to improve the delivery of quality client service.
  22. Coordinates with teams within and outside of HFS.
  23. Proactively recommends and champions efforts to improve overall service quality and promote employee engagement.
  24. Viewed as a leader and influences peers, team, supervisor, clients, other BAU teams, Sr Managers, all Northern Trust Servicing Teams, vendors, industry groups, and external parties.
  25. Serves as a mentor and coach for others.

Requirements

Experience

We are looking for a candidate with a College or University degree and relevant proven work experience. A minimum of 8-15+ years of experience is required. Experience with Investment Management and/or Financial Services; Alternative Asset Management specific a plus. Proven project management practice, familiarity with the Microsoft Suite (Excel, Word, PowerPoint, Outlook, Visio), familiarity with Microsoft Azure tools or a willingness to learn (Azure DevOps Services), familiarity with project management tools and concepts, familiarity with Agile development methodologies and concepts, and a genuine desire and capability to work in a fast-paced, professional, inclusive environment which requires teamwork, well-honed problem-solving skills, frequent re-prioritization, deadline management, ongoing and comprehensive communication, constant attention to detail, and a commitment to continuous improvement and best practices.
