Job Description:

Overview

Kitchell is seeking a skilled and detail-oriented Contract Coordinator to join our Northern California region based out of Sacramento. This individual will be responsible for ensuring consistent administration and documentation support, including the organization of file systems and related project data in electronic file management systems.

Duties and Responsibilities:
  • Manage and administer the invoice workflow process, including internal and external vendor invoices.
  • Develop and maintain contract tracking logs to maintain the status of each contract in process.
  • Assist in developing templates for bid documents and manage file management on SharePoint sites and other Project Management Information Systems (PMIS).
  • Fulfill clerical needs such as data entry, document management, copying, and distribution of business-related matters.
  • Perform document control of all requests for proposals, quotations, contracts/agreements, and related documents.
  • Manage project documentation and upload it to external client websites.
  • Present a professional image with all internal and external interactions.
  • Maintain financial controls of projects, develop and submit agenda items for supervisory board approval, and manage project construction alert distribution.
  • Assist with Financial Closeout of projects and coordinate the preparation of contract amendments, change orders, and other modifications to contract agreements.
Requirements

Experience and Education:

  • Minimum 3 years of experience in contracts administration or related fields, preferably in the architecture, engineering, and/or construction management industry.
  • Associates degree is strongly preferred, but work experience may substitute for education credentials.
Knowledge and Skills:
  • Ability to create and implement workflow processes consistently when developing requests for proposals, negotiating terms, and drafting contracts.
  • Proficiency with Microsoft Office Suite and proficiency with Bluebeam Revu, Procore, and Kahua are preferred.
  • Excellent verbal and written communication skills, including the ability to represent the company in a professional manner.
  • Able to demonstrate competencies of achieving results, initiative, communication, and teamwork.
  • Commitment to Kitchell's values, including honesty, integrity, quality of work, and customer satisfaction.
  • Capable use of English grammar, proofreading/editing, and spelling.

This opportunity is project site-based in Sacramento, CA.
