Job Summary

We are seeking a highly skilled and experienced Clinical Coordinator RN to join our team at Advocate Aurora Health. As a Clinical Coordinator, you will play a critical role in ensuring the smooth operation of our Gynecological Oncology department, working closely with healthcare teams and physicians to deliver high-quality patient care.

Key Responsibilities
  • Participate in the delivery of quality clinical care, working closely with healthcare teams and physicians to ensure triage, telephone assessments, home therapies, and patient visits are consistent with established guidelines.
  • Take a lead role with the clinical team to meet and exceed clinical integration goals, assisting physicians and associates in managing patient registries and performing clinical duties as determined by the needs of the practice site or as assigned by the manager.
  • Support a safe environment for patients and associates through effective monitoring of staff compliance to established standards of care, policies, and procedures, and HIPAA compliance.
  • Ensure associates are up-to-date with all safety training and certifications, utilizing information to implement process changes and staff education.
  • Lead and participate in site clinical integration activities, identifying, evaluating, and resolving potential safety problems, including equipment maintenance issues.
  • Ensure the timely management of EMR tasks, overdue orders, test result follow-up, and other patient follow-up, demonstrating appropriate action and taking a lead role in emergency situations.
  • Act as a role model and champion for a Culture of Safety, working with the manager to resolve patient safety events in the reporting system and promoting and educating staff on the reporting system to report all events and near-miss events.
  • Collaborate with the manager/director and physician leadership to maintain an environment that is patient-centered, as evidenced by the availability of open access, including same-day appointments, future appointments made, referrals made within the group, adherence to test result reporting guidelines, positive patient comments, and meeting/exceeding Key Result Area (KRA) goals.
  • Hold self and others accountable to adherence to AMG Service Standards, Behaviors of Excellence, AIDET, and MVP, participating and promoting activities to evaluate and improve processes that will contribute to patient satisfaction.
  • Conduct frequent assessments of patient flow, taking appropriate steps to reduce wait times and to keep patients informed of delays, and ensuring adequate clinical staffing by developing schedules, assignments, and modifying as necessary.
  • Assist in coordinating managed care issues and nursing updates, evaluating service levels and operational procedures, such as wait-times, message management, and appointment availability, and engaging staff in resolution of identified issues.
  • Actively round on patients, associates, and physicians, ensuring that the team has the necessary resources and tools to be successful, and actively participating and/or leading team huddles.
  • Support initiatives that enhance practice growth, as well as retention of existing patients, under the direction of the manager and in collaboration with physician leadership.
  • Proactively manage staff schedules to minimize use of overtime, temporary staff, and registry, working in collaboration with practice site manager to achieve revenue and cost targets, and maximizing team efficiency by utilizing all team members.
  • Participate in activities that foster practice growth, promoting same-day access and being engaged in volume visit targets.
  • Collaborate with the practice manager on Human Resource functions related to associates to ensure continued quality, development, and retention, reflecting the Advocate Experience of creating the best place for associates to work and achieving associate satisfaction scores consistent with AMG goals and standards.
  • Conduct regular staff meetings and daily huddles with associates, documenting meetings using Stoplight Report, and collaborating with the manager to conduct performance reviews on time.
  • Demonstrate effective time management, problem-solving, collaboration, and conflict resolution skills, consistently ensuring the manager is fully informed of key events or issues that impact practice operations.
  • Provide ongoing performance feedback to associates through coaching and mentoring, orienting and providing training to new associates, documenting orientation, training, and required competencies to ensure that associates are proficient in job requirements.
  • Assure all associates maintain certification and all required continuing education units (CEUs), and seek opportunities to further educate and develop the associates and enhance own leadership skills.
  • Assist in the creation and maintenance of an operationally efficient and physician/provider-friendly work environment, rounding with physicians/providers daily to review staff issues and to address and resolve operational/clinical concerns, soliciting feedback regarding staff performance, and engaging physicians/providers in improving processes, workflow, and EMR-related concerns.
  • Provide support to the onboarding of new physicians/providers, actively participating in meetings, committees, and projects, keeping abreast of current clinical standards via literature, educational events, and internal and external resources and networking, and participating in activities to enhance professional growth.
  • Maintain licensure and complete required CEUs, and perform other duties as assigned.
Requirements
  • Graduate from an accredited school of nursing.
  • 5+ years of nursing experience.
  • BSN preferred.
  • Leadership experience preferred.
  • Knowledge of OSHA, FMLA, ADA, DOT regulations, CDC guidelines, and Workman's Comp Laws if applicable.
  • Good communication skills.
  • Proficient with keyboard and computers.
  • Good time management and organizational skills.
  • Current RN licensure in the State of Illinois.
  • Current CPR certification.
Working Conditions
  • Ability to work varying shifts any day of the week to meet the needs of the site.
  • Ability to work under stressful conditions and difficult situations.
  • Ability to perform lifting/transfer activities relating to patient as needed, ability to stoop/bend.
  • Able to respond quickly to patient needs and work at a fast pace.
  • Work environment includes probability of exposure to adverse, hazardous materials while caring for the sick.
  • Ability to assist in the evacuation of patients in the event of fire or other disaster.
  • Routinely works with potentially infectious specimens and patients.
  • This position will recognize needs and behaviors of a variety of patient age groups, i.e., understand child growth and development, normal pattern of adolescent behavior, and look for normal signs of aging.
  • Ability to travel to Advocate locations.
