Position Summary


The Receptionist Specialist is tasked with providing exceptional service to all patrons in a timely, efficient, and courteous manner.

Receptionists must comply with all company policies, procedures, and standards, ensuring that front desk operations align with the needs of our guests.


Key Responsibilities

  • Perform all front desk operations, including managing the switchboard, business center, and guest relations.
  • Facilitate seamless check-in and check-out processes for all guests by accurately managing guest accounts.
  • Maintain an adequate supply of front desk materials.
  • Ensure all outstanding balances are cleared at the end of the day.
  • Stay informed about daily operations through regular updates from the information board and event sheets.
  • Exhibit knowledge of proper etiquette and protocols.
  • Use your PMS credentials responsibly; always log off when not in use.

Customer Service Focus

  • Address guest inquiries and concerns, fulfilling their needs within established guidelines.
  • Identify and provide special attention to Reward Members, VIP guests, and returning customers.
  • Keep the hotel function directory updated.
Collaboration and Team Support

  • Assist colleagues with any questions or issues that may arise.
  • Maintain a visible presence at the front desk to ensure efficient service delivery.
  • Support housekeeping, laundry, auditing, and breakfast operations as needed.

Organization and Accountability

  • Keep the work area clean, organized, and presentable at all times.
  • Adhere to company policies regarding cash handling at the end of each shift.
  • Complete assigned tasks and projects while meeting deadlines.
  • Be familiar with emergency protocols and act accordingly.

Proactive Problem Solving

  • Acquire comprehensive knowledge of hotel offerings, including room types, amenities, and services.
  • Understand the preferences and special requests of frequent guests.
Support the Mission of Warrenton Oil Group

  • Deliver gracious and proactive hospitality to all customers while adhering to company standards.
  • Foster a positive and productive atmosphere at the front desk, maintaining good relationships with all team members.
  • Consistently represent the hotel and brand in a professional and courteous manner.
