Position Summary: Denver Botanic Gardens is seeking a Full-Time Venue Sales Associate within our Events Department. This role serves as a key representative of our distinctive offerings to guests and potential clients. The Venue Sales Associate is tasked with the sales and execution of private events hosted at the Gardens. Responsibilities include conducting sales tours, implementing departmental sales strategies from initial inquiry to successful event completion, and overseeing all assigned events.

Key Responsibilities:

  • Manage accounts, negotiate contracts, and achieve revenue targets through on-site sales initiatives.
  • Act as the on-site representative for venue events.
  • Maintain a positive and proactive demeanor while engaging with clients, members, visitors, and staff throughout events.
  • Coordinate client meetings, site visits, and event execution.
  • Guide sales leads through each phase of the sales process until the event is successfully completed.
  • Foster and maintain professional relationships with clients and vendors.
  • Respond to inquiries via phone and email on a daily basis.
  • Prepare proposals, contracts, and detailed floor plans for clients.
  • Ensure the safe and efficient management of client events, addressing any issues that arise in accordance with Gardens regulations.
  • Communicate any unusual circumstances or safety concerns to security and senior management.
  • Verify that all events are set up according to client contracts, accommodating last-minute adjustments as needed.
  • Oversee the coordination of deliveries to ensure they reach the correct locations.
  • Complete necessary paperwork following each event and report any property damage promptly.
  • Ensure that all event vendors comply with Gardens policies, including kitchen use and post-event inspections.
  • Maintain a positive working relationship with colleagues, clients, and other stakeholders.
  • Adhere to all policies and procedures within the Events Department.
  • Strive to provide the highest quality visitor experience.
  • Assist with public events as assigned.
  • Regular attendance at the worksite is expected, with remote work options available at management's discretion.
  • All employees must be dedicated to the mission of connecting people with plants, particularly those from the Rocky Mountain region and similar areas worldwide.

Qualifications:

  • Strong organizational skills and attention to detail, coupled with excellent verbal and customer service abilities.
  • Availability for early mornings, evenings, weekends, and holidays as required by the event schedule.
  • Capability to manage multiple large events and priorities simultaneously.
  • Proven customer service and communication skills when interacting with the public.
  • Ability to remain composed under pressure and effectively handle stressful situations.
  • Flexibility to adapt plans as necessary throughout the day.
  • Proficiency in Microsoft Suite, particularly Word, Excel, Outlook, and Teams.
  • Willingness to work overtime as needed.
  • Positive representation of the Gardens in all interactions.
  • Commitment to respectful and cooperative engagement with colleagues and the public.
  • Dedication to maintaining a safe working environment.

Experience and Education:

  • A Bachelor’s degree or a combination of education and relevant experience is required.
  • A minimum of 2 years of experience in the hospitality or recreation industry is preferred.
  • Experience in venue sales and hospitality is advantageous.
  • Strong written, verbal, and interpersonal communication skills are essential.

Travel Requirements:

Up to 10% travel may be necessary, including visits to remote locations where conditions may vary significantly.
