Job Title: Lot Coordinator Specialist

ADESA is seeking a dedicated and detail-oriented Lot Coordinator Specialist to join our team. As a key member of our Lot Team, you will play a crucial role in ensuring the smooth operation of our vehicle inventory.

Responsibilities:
  • Perform duties in compliance with all contractual customer agreements, ensuring seamless interactions with clients.
  • Utilize AuctionTrac to scan inventory and record vehicle movements, maintaining accurate records and facilitating efficient operations.
  • Assist in maintaining the organization and accessibility of inventory, ensuring vehicles are properly designated and easily accessible.
  • Participate in periodic physical inventories to verify inventory accuracy and identify any discrepancies.
  • Act as a liaison between the auction and designated accounts, providing exceptional customer service and support.
  • Collaborate with representatives to identify vehicles requiring repairs, recommending necessary work to generate revenue.
  • Determine which vehicles require outside services, such as dent removal or glass repair, and coordinate with shops accordingly.
  • Review and write repair orders, ensuring accurate documentation and efficient communication with shops.
  • Locate, number, and place vehicles not requiring shop work on the sale line, maintaining a smooth and organized process.
  • Verify vehicle mileage and confirm year, miles, and VIN numbers before sale, ensuring accuracy and compliance.
  • Communicate with shop and operational personnel to ensure efficient inventory flow, from check-in to sale.
  • Place initial stickers on vehicles for designated shops and move vehicles requiring services to the proper staging areas.
  • Flag vehicles, add final stickers, and mark numbers on windshields, preparing them for sale.
  • Walk vehicles with representatives prior to sale to ensure quality of shop work and final recon.
  • Take pictures of inoperable vehicles as needed, providing visual documentation for customers.
  • Track missing units and assist transporters in locating vehicles, ensuring timely resolution.
  • Locate redemption units upon request and assist administrative staff in releasing vehicles to customers.
  • Use PC and AMS to look up information regarding designated vehicles, maintaining accurate records.
  • Enter repair orders into the VTrace system, ensuring seamless communication with shops.
  • Assist in educating Vehicle Inspectors on SOPs for each account, promoting consistency and accuracy.
  • Ensure arbitrated units are restocked into inventory and proper announcements are made, maintaining a smooth process.
  • Identify and add/verify vehicle announcements and reports, ensuring accuracy and compliance.
  • Dealer Consignment: Determine if a "no start" vehicle should be moved to the Mechanic Shop using basic diagnostic skills.
  • Dealer Consignment: Create Live Block Listings using a hand-held device, facilitating efficient sales.
  • Sale Day: Operate gas dollies, lock out tools, or jump packs as needed, ensuring a smooth sale process.
  • Sale Day: Assist with coordination of the sale line, ensuring a seamless and efficient process.
Qualifications:
  • Automotive experience required, with auction experience preferred.
  • Basic computer skills are necessary, with proficiency in PC and AMS systems.
  • Ability to work outdoors in various weather conditions, with a valid driver's license and ability to operate a motor vehicle.
  • Must be at least 18 years old, with a strong work ethic and attention to detail.
