Job Overview:

Tandym Group is seeking an experienced Legal Team Assistant to join our growing staff in New York City.

About the Role:

This role involves providing administrative and secretarial support to our professional staff and practice groups. As a key member of our team, you will be responsible for managing complex electronic files, preparing documents, and conducting research using internal and external databases.

Responsibilities:

  • Record Management: Identify and maintain accurate and complete records by following firm guidelines and policies.
  • Document Preparation: Prepare and edit documents and spreadsheets, as well as prepare revisions and blackline documents.
  • Proofreading: Proofread documents and check for appropriate formatting, spelling, and grammar.
  • Research: Conduct research using internal and/or external databases and tools, as needed.
  • File Organization: Organize and maintain complex electronic files, including the use of multiple electronic tools and databases, for the practice and individual attorneys.
  • Vendor Invoicing: Validate and process vendor invoices for payment and follow up with Accounts Payable to confirm payment.
  • Billing Assistance: Assist attorneys and the Billing Department with preparation of client bills.
  • Calendar Management: Manage, maintain, and update attorney calendars and contacts.
  • Correspondence: Review, route, and prioritize incoming and outgoing correspondence (hard copy and electronic).
  • Receptionist Duties: Receive and screen phone calls, take messages, receive and direct clients and visitors, and coordinate travel arrangements.
  • Additional Tasks: Perform other duties as needed.

Requirements:

  • Experience: 3+ years of previous secretarial and/or relevant legal experience.
  • Education: High School Diploma or GED.
  • Languages: Familiarity with legal documents and terminology.
  • Skills: Computer savvy, Microsoft Office Suite proficient, solid problem-solving and time management skills, great interpersonal skills, excellent communication skills (written and verbal), strong attention to detail, and highly organized.

  • Credentials: Associate's and/or Bachelor's Degree.

Salary Estimate: Based on industry standards and location, the estimated salary range for this position is $60,000 - $80,000 per year.
