JOB SUMMARY:
The Procurement Specialist is accountable for the formulation and execution of purchase orders for designated goods, materials, and services. This role encompasses the identification and cultivation of qualified vendors while striving for the most economical total cost on acquisitions, ensuring maximum value is achieved. The Procurement Specialist will maintain accurate documentation of all purchasing-related records.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Collaborate with the Engineering Department to initiate and monitor purchase orders related to capital projects.
- Negotiate Vendor Managed Inventory (VMI) for all parts programs in the inventory.
- Facilitate month-end closure processes across all assigned sectors.
- Serve as a backup for processing purchase orders for maintenance supplies and raw materials.
- Negotiate contracts and pricing arrangements with suppliers of maintenance, repair, and operations (MRO) goods.
- Engage closely with Maintenance, Production, Stores, and Engineering teams to assess stock and MRO requirements.
- Support company objectives to implement Just-In-Time (JIT) purchasing strategies in designated areas, emphasizing reliable supply sources while maintaining optimal inventory levels.
- Expedite urgent material and service requests as necessary.
- Maintain close coordination with the accounting department to ensure efficiency in the requisition-to-payment process and timely supplier payments.
- Oversee the maintenance of all supplier applications, background checks, and compliance screenings for new suppliers, ensuring the accuracy of existing supplier data in the system.
- Verify all existing and incoming Material Safety Data Sheets (MSDS) for materials, ensuring proper processing and distribution to relevant departments.
- Contribute to departmental goals aimed at achieving cost-effective supplier agreements and adherence to competitive bidding policies.
- Promote continuous improvement initiatives within the organization, ensuring procurement practices provide a competitive edge.
- Adhere to all company safety protocols and procedures.
- Comply with all organizational policies, procedures, and safety regulations.
- Uphold ISO/IATF standards.
- Fulfill additional responsibilities as assigned by the Supply Chain Manager, including supporting the Purchasing Agent and Production Planner.
REGULATORY REQUIREMENTS:
Assist in maintaining all regulatory programs to comply with applicable government standards.
QUALITY:
Support, maintain, and continuously enhance Knowlton Technologies, LLC's Quality Management System in alignment with the IATF 16949 International Standard. Employees are expected to follow work instructions and current best practices that support the KT Value Stream Maps.
HOUSEKEEPING:
Contribute to the housekeeping program that establishes standards for cultural transformation and fosters individual pride in the workplace.

EDUCATION and/or EXPERIENCE:
- Bachelor's degree in supply chain management, business administration, or finance (or equivalent work experience).
- 2 – 5 years of inventory management experience in a manufacturing setting.
- APP or CPM certification is preferred but not mandatory.
- Strong written and verbal communication skills.
- Demonstrated leadership and organizational capabilities.
- Ability to work independently with minimal supervision.
- Proficient in multitasking.
- Capability to coordinate efforts with other internal departments.
- High proficiency in MS Office, particularly Excel and PowerPoint, as well as Computerized Maintenance Management Systems (CMMS).
- Advanced skills with company-specific computer systems.
- Effective negotiation and problem-solving abilities.
- Strong analytical, communication (both oral and written), and interpersonal skills.
- Ability to work effectively within a team environment.
- Cost-effective procurement, maintenance, distribution, and replacement of assigned goods and services.
COMPUTER LITERACY:
Develop the necessary skills to operate computer hardware/software for generating or retrieving information required for job responsibilities.
LANGUAGE SKILLS:
Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to inquiries or complaints from customers, regulatory agencies, or business community members. Ability to effectively present information to top management, public groups, and/or boards of directors.
MATHEMATICAL SKILLS:
Ability to work with basic mathematical concepts to accurately report purchasing metrics such as cost savings, delivery performance, bid results, supplier benchmarking, supply market conditions, and other assigned tasks.
REASONING ABILITY:
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret a wide variety of technical instructions in mathematical or diagram form and manage several abstract and concrete variables.
