General Overview
The Senior Administrative Assistant for Support Services plays a crucial role in providing clerical and organizational assistance to the Support Services Section of the City of Casselberry Police Department. This position requires a degree of independent judgment and action within the framework of established guidelines and policies.
Key Responsibilities
As a vital member of the team, the Senior Administrative Assistant will:
- Deliver clerical and administrative support to the Support Services Sergeant and the Training and Community Relations Section. (85%)
- Serve as the first point of contact for the Training and Community Relations Section, managing incoming communications and addressing general inquiries.
- Coordinate training registrations, lodging arrangements, and per diem requests for department personnel.
- Maintain and update the department's training database, ensuring accurate data entry and management.
- Draft correspondence for the Support Services Sergeant and other designated personnel.
- Organize and maintain files, preparing materials for the Training and Community Relations staff.
- Assist in the recruitment process by screening applications and organizing related materials.
- Ensure timely and accurate management of office correspondence, training records, and various reports.
- Utilize office equipment, including computers and printers, to perform job functions effectively.
- Create and manage social media content and advertisements.
- Process purchase orders and manage financial requests.
- Compile and prepare reports for the Training and Community Relations section and the Police Department.
- Exhibit initiative and judgment in planning and executing work responsibilities.
- Adhere to safety practices and complete required training in a timely manner.
- Follow all relevant laws, regulations, and departmental policies.
- Participate in departmental meetings and related activities.
- Manage public records in accordance with applicable laws.
- Assist with the management of training facilities used by external vendors.
- Provide backup support for the Police Administrative Services Coordinator, including payroll processing and budget management.
- Support the Accreditation Manager during departmental reaccreditation processes.
- Actively participate in emergency response efforts as required.
- Support disaster preparedness and recovery initiatives as assigned.
To excel in this role, candidates should possess:
- Education: A High School Diploma or G.E.D. is required; a bachelor's degree is preferred.
- Experience: At least two years of experience in administrative or clerical support within a customer service or municipal context is essential.
- Licenses: A valid Florida Driver's license is required.
- Security Clearance: Background clearance from the Florida Department of Law Enforcement.
- Familiarity with local, state, and federal regulations.
- Understanding of departmental policies and procedures.
- Proficiency in customer service software and Microsoft Office Suite.
- Ability to maintain composure in stressful situations.
- Strong interpersonal skills for effective collaboration.
- Commitment to the mission and values of the City of Casselberry.
This position is primarily office-based, requiring prolonged periods of sitting and the ability to lift up to twenty-five pounds.
