The Medical Coordinator will work closely with our psychiatrists and larger Health Services team, supporting all medical services to our clients across California and Washington states. The Medical Coordinator performs program support duties focused on ensuring all youth in placement have up-to-date medical visits and records.
Responsibilities- Schedule all appointments, including client/family, staff internal collaborations with the medical team, and any rescheduling, including providing routine appointment reminders.
- Accurately relay information to the psychiatry team, including the nurses and providers.
- Provide training for all new hires, including reviewing medication support in our region and referral processes.
- Work closely with interpretation services, ensuring all language needs are scheduled for corresponding appointments.
- Conduct records requests related to medical services.
- Ensure client/family areas are cleaned in between sessions and order PPE for the sites.
- Manage a small caseload of clients who are receiving medication management services.
- Complete all documentation needed in support of client care.
- Attend all relevant trainings, including in-services.
- Provide crisis intervention as needed, using Seneca's Equilibrium Model.
- Function as team leader and uphold the ideals of the program.
- Maintain professional behavior at all times, appropriately representing the Seneca mission and philosophy.
- Perform other duties deemed necessary by supervisor(s).
- Respond to questions directed to our Health Services Administration team over email.
- Complete administrative onboarding for new staff.
- Create and edit documents on Adobe.
- Maintain department calendars and SharePoint files.
- Compile department expense reports.
- Schedule and set up meetings and send reminders, create meeting agendas, facilitate meetings occasionally, and write meeting minutes.
- Occasionally order lunch for staff meetings.
- Occasionally help plan staff appreciation events.
- Assist with medical supply procurement and shipment.
- Monitor medical equipment performance via data tracking.
- Conduct supply and inventory organization.
- Coordinate delivery of supplies and vaccines to nurses during influenza vaccination season and assist with set up/take down of vaccine events.
- Coordinate return of unused vaccines.
- Assist with site setup for new nursing spaces.
- Cover for Sr. Admin when they are on vacation.
- Education/Experience Requirements:
- Bachelor's degree OR
- Associate's degree or equivalent + 1 year of applicable experience OR
- High School Diploma/GED + 2 years of applicable experience
- At least 21 years of age.
- TB test clearance, fingerprinting clearance, and any other state/federal licensing or certification requirements.
- Valid driver's license, clean driving record.
- Proof of up-to-date COVID-19 vaccination.
- Bilingual Spanish/English.
- Skilled in Microsoft Office Suite (Excel, SharePoint, Word, etc.).
- Experience working with children and families.
- Ability to work as a team player.
- Ability to work with a diverse population.
- Excellent organizational, writing, and communication skills.
- Relentless curiosity and willingness to keep digging for information.
- Starting at $25.47 - $27.97 per hour.
- Actual salary dependent on creditable experience above the minimum qualifications for the role.
- Additional compensation provided upon passing bilingual language proficiency exam.
