Position Summary:

This newly established role offers a unique opportunity to provide comprehensive support across various departments within a dynamic organization. The individual in this position will assist multiple teams, including but not limited to Human Resources, Engineering, Information Technology, and Procurement, while also offering backup assistance to other areas as needed. Strong interpersonal skills are essential for building meaningful professional relationships with colleagues.

Key Responsibilities:

1. Manage correspondence by responding to emails and assisting managers.

2. Organize and coordinate logistics for meetings and events, including selecting venues, preparing materials, and scheduling appointments.

3. Maintain both physical and digital filing systems for various departments.

4. Oversee catering arrangements for meetings and events, ensuring proper setup and supply availability.

5. Assist team members with travel arrangements, including booking flights, hotels, and rental cars.

6. Sort and distribute incoming mail to relevant personnel.

7. Manage the inventory of office supplies.

8. Aid managers in creating presentation materials for meetings.

9. Facilitate plant tours by coordinating with necessary personnel and ensuring compliance with safety protocols.

10. Support Human Resources in organizing interview logistics for candidates.

11. Assist with recognition programs within the departments.

12. Collaborate with other administrative support staff across the organization.

13. Anticipate the needs of managerial staff.

14. Provide backup support to other departments as required.

15. Offer assistance to visitors as necessary.

16. Perform additional duties as assigned.

Qualifications:

1. High school diploma or equivalent required; an associate degree is preferred.

2. At least one year of experience in an administrative support role is required.

3. Ability to maintain professionalism and confidentiality at all times.

4. Strong multitasking and prioritization skills to manage diverse responsibilities.

5. Proficiency in Microsoft Office Suite with advanced skills.

6. Excellent organizational, time management, and communication skills, capable of interacting with all organizational levels.

7. Self-motivated with strong attention to detail and thoroughness in task completion.

8. Exceptional verbal and written communication abilities.

9. Analytical thinking and problem-solving skills are essential.

10. Ability to manage multiple projects for different departments simultaneously.
